Summary:
We are seeking a highly organized and customer-focused Service Advisor / Service
Administrator to join our dealerships service department. This dual-role position acts as the
key liaison between our customers and the service technicians, ensuring a seamless and efficient
service experience. The ideal candidate will have a strong understanding of automotive services,
excellent communication skills, and the ability to handle administrative duties with accuracy and
efficiency.
Requirements:
Customer Service & Advisory:
- Greet customers in a professional and friendly manner.
- Listen to customer concerns, accurately document service needs, and translate them into clear repair orders.
- Provide detailed explanations of recommended services, repairs, and estimated costs.
- Keep customers updated on the status of their vehicles throughout the service process.
- Review completed work and handle the vehicle delivery process with the customer.
- Follow up after service to ensure customer satisfaction and address any concerns.
Administrative Duties:
- Open and close work orders in the dealerships service management system (CDK).
- Schedule service appointments and coordinate with technicians for availability.
- Maintain accurate records of customer interactions, repairs, warranties, and services performed.
- Process payments, warranty claims, and invoice paperwork in accordance with dealership and manufacturer standards.
- Assist with inventory tracking of parts and service-related supplies.
- Support service advisors and technicians with administrative tasks as needed.
Required Skills & Qualifications:
- High school diploma or equivalent; further education or technical training is a plus.
- Previous experience in a dealership or automotive service environment preferred.
- Strong knowledge of automotive systems and services.
- Excellent communication and interpersonal skills.
- Proficiency with dealership DMS software (CDK) is an asset.
- Ability to manage multiple tasks in a fast-paced environment.
- High attention to detail and accuracy in administrative work.
- Strong problem-solving skills and a customer-first attitude.
- Valid drivers license and clean driving record.
Working Conditions:
- Full-time, often Monday through Saturday schedule.
- Work is performed in a dealership service reception and office environment, with occasional time spent in the workshop or outdoors.
- May involve standing or walking for extended periods.
