Job Overview
We are seeking a Service Coordinator to join our Huntsville, Alabama team. The Service Coordinator will serve as the coordinator for schedules and appointments between customers and technicians. The Service Coordinator must be able to evaluate the complexity of the service request to determine the amount of time the appointment will require and then find the time that works best for both the customer and technician. Applicants should be professional and must have the ability to manage multiple calls and emails. A good coordinator should be able to determine the priority of customers’ needs to determine when an immediate slot should be found or if the service request can be responded to based on the current schedule. You will also serve as the central hub for project execution, ensuring seamless coordination between teams, contractors, and clients

Duties

  • Coordinate communication among project stakeholders, including contractors, suppliers, and clients, to facilitate smooth workflow and resolve issues promptly.
  • Answer phone calls and e-mails, greeting customers and prospective customers and reminding them of upcoming appointments
  • Scheduling appointments for corrective and preventative maintenance services
  • Interface and coordinate with vendors to determine availability of replacement parts
  • Review and file Maintenance Action Request, Preventative Maintenance and Job Completion forms, as well as perform billing duties
  • Assist with parts orders (shipping and receiving)
  • Process and track return material authorizations
  • Inventory and assist with staging materials for projects
  • Assist with entering data into Microsoft Excel spreadsheet for financial reporting
  • Assist in tracking project for completion and keeping the active project file updated
  • Maintain comprehensive records of project activities, schedules, budgets, and communication logs to support transparency and accountability.
  • Resolve scheduling conflicts as they occur
  • Perform other duties as assigned

Skills

  • Excellent project scheduling skills with experience in coordinating multiple tasks simultaneously.
  • Effective time management skills with the ability to prioritize tasks in a fast-paced environment.
  • Exceptional communication skills for clear collaboration with team members and stakeholders.
  • High school diploma or equivalent
  • Excellent Computer skills and experience with Microsoft Office Suite
  • Valid driver's license with good record
  • Self-starter, independent, willing to take initiative
  • US Citizenship required with the ability to obtain a Secret level clearance
  • Prior security industry experience a plus

Job Type: Full-time

Pay: $15.00 - $22.00 per hour

Expected hours: 40 per week
