Bioair Mechanical & Plumbing is a rapidly growing commercial HVAC and Plumbing company serving multi-family, commercial, and industrial clients throughout San Diego County. We are seeking an organized, dependable, and detail-oriented Service Coordinator / Administrative Assistant to support our operations team and provide backup dispatch coverage when needed.
This position is ideal for someone who enjoys a fast-paced office environment, thrives on organization, and takes pride in helping keep a service business running smoothly.
Compensation is not capped and will be based off experience, attitude and skillset.
Responsibilities:
Administrative Support
- Monitor and organize company email inboxes
- Assist with document management and filing
- Support managers with miscellaneous administrative tasks
- Prepare reports, spreadsheets, and customer correspondence
- Maintain accurate records and databases
- Assist with customer follow-up and communication
- Support accounting and billing functions as needed
Dispatch Support
- Provide backup dispatch coverage for HVAC and Plumbing service technicians
- Schedule and coordinate service calls
- Communicate with technicians regarding schedule changes and customer needs
- Monitor technician progress throughout the day
- Assist with emergency service requests and priority calls
- Ensure work orders and service documentation are properly completed
Customer Service
- Answer incoming phone calls professionally
- Assist customers with service requests and scheduling
- Maintain strong communication with clients, technicians, and vendors
- Help ensure excellent customer service and timely response to customer needs
Qualifications
- Previous administrative, customer service, dispatch, or office coordination experience preferred
- Strong organizational and multitasking skills
- Excellent communication skills
- Proficiency with Microsoft Outlook, Word, and Excel
- Ability to work effectively in a fast-paced environment
- Strong attention to detail
- Professional and positive attitude
- Experience in HVAC, Plumbing, Construction, Property Management, or Service Industries is a plus
- College degree also plus but not required
