Service Coordinator/Dispatcher

Bioair Mechanical & Plumbing is a rapidly growing commercial HVAC and Plumbing company serving multi-family, commercial, and industrial clients throughout San Diego County. We are seeking an organized, dependable, and detail-oriented Service Coordinator / Administrative Assistant to support our operations team and provide backup dispatch coverage when needed.

This position is ideal for someone who enjoys a fast-paced office environment, thrives on organization, and takes pride in helping keep a service business running smoothly.

Compensation is not capped and will be based off experience, attitude and skillset.

Responsibilities:

Administrative Support

  • Monitor and organize company email inboxes
  • Assist with document management and filing
  • Support managers with miscellaneous administrative tasks
  • Prepare reports, spreadsheets, and customer correspondence
  • Maintain accurate records and databases
  • Assist with customer follow-up and communication
  • Support accounting and billing functions as needed

Dispatch Support

  • Provide backup dispatch coverage for HVAC and Plumbing service technicians
  • Schedule and coordinate service calls
  • Communicate with technicians regarding schedule changes and customer needs
  • Monitor technician progress throughout the day
  • Assist with emergency service requests and priority calls
  • Ensure work orders and service documentation are properly completed

Customer Service

  • Answer incoming phone calls professionally
  • Assist customers with service requests and scheduling
  • Maintain strong communication with clients, technicians, and vendors
  • Help ensure excellent customer service and timely response to customer needs

Qualifications

  • Previous administrative, customer service, dispatch, or office coordination experience preferred
  • Strong organizational and multitasking skills
  • Excellent communication skills
  • Proficiency with Microsoft Outlook, Word, and Excel
  • Ability to work effectively in a fast-paced environment
  • Strong attention to detail
  • Professional and positive attitude
  • Experience in HVAC, Plumbing, Construction, Property Management, or Service Industries is a plus
  • College degree also plus but not required

Pay: $20.00 - $28.00 per hour
