We are seeking a dynamic and highly organized Service Department Administrative Assistant to join our team! Duties
- Serve as the first point of contact at the front desk, greeting visitors and directing calls with professionalism and courtesy
- Manage incoming calls, schedule appointments, and coordinate calendar management for service technicians and managers
- Communicate proactively with customers and promptly return phone calls and emails
- Track open work orders on Dealer Management Software
- Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure a tidy and efficient workspace
- Perform work order audits to quality check for accuracy
- Hold technician accountable ro provide needed documentation
- Assist with office management duties including ordering supplies, maintaining office equipment, and ensuring adherence to office policies
- Provide excellent customer support by addressing inquiries promptly, supporting clients through phone or email communications, and ensuring a positive experience
Qualifications
- Proven office experience with strong clerical and administrative skills in a professional environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Must have an understanding of marine warranty process
- Experience with Lightspeed or similar dealer management software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Strong communication skills including phone etiquette; bilingual abilities are a plus
- Demonstrated ability to manage multiple responsibilities simultaneously while maintaining accuracy
- Ability to work well independently as well as part of a team with positive attitude and professionalism
Pay: $23.00 - $28.00 per hour
