Service Department Coordinator

Duties

  • Manage front desk responsibilities, greeting clients and visitors with professionalism and enthusiasm
  • Operate multi-line phone systems to handle inquiries, schedule appointments, and direct calls efficiently
  • Coordinate service appointments, calendar management, and follow-up communications to optimize workflow
  • Maintain accurate records using QuickBooks for invoicing, bookkeeping, and financial tracking
  • Support office management tasks including filing, data entry, proofreading, and document organization
  • Provide exceptional customer support by addressing client questions promptly and courteously
  • Assist with clerical duties such as filing, document preparation, and managing office supplies

Skills

  • Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications
  • Strong organizational skills with the ability to multitask effectively in a busy environment
  • Excellent phone etiquette with experience handling multi-line phone systems and customer inquiries
  • Bilingual abilities are highly valued to serve diverse client needs
  • Office management experience including calendar management and administrative support
  • Computer literacy with typing skills and familiarity with data entry procedures
  • Attention to detail in proofreading documents and maintaining accurate records
  • Exceptional time management skills to prioritize tasks efficiently
  • Personal assistant or office support experience is a plus to enhance team productivity
