Job Overview
We are seeking a dynamic and detail-oriented Service Dispatcher to join our team on Oahu. In this vital role, you will coordinate and manage service requests, ensuring timely dispatching of technicians and resources to meet customer needs efficiently. This role also provides office support and assists with a variety of clerical, administrative, and related tasks. This position reports to the Sr. Service Administrator.

ESSENTIAL FUNCTIONS:

  • Coordinate with customers, technicians, and the DDL team to support smooth Service Department operations, including technician dispatching and scheduling.
  • Ensure efficient and accurate communication between Managers, Administrators, Dispatch, and Technicians.
  • Provide clerical and administrative support to the Service Manager and broader team, including answering phones, assisting callers, scanning, faxing, filing, and document preparation.
  • Compile, update, and maintain Service Department records and reports—such as customer maintenance reports, annual maintenance spreadsheets, contracts, labor reports, warranty logs, renewal notices, proposals, and various other documents.
  • Create Service Work Order tickets and distribute them to the appropriate parties.
  • Compile and validate Time Sheet Reports and coordinate with Payroll as needed.
  • Assist with ordering parts when necessary and as directed.
  • Collect credit card information for COD payments as required.
  • Perform timely, accurate ad hoc reporting, research, and analysis upon request.
  • Provide constructive feedback and ideas to support process improvement initiatives.
  • Support and participate in the company’s safety program.
  • Perform other duties and tasks as assigned by Service Managers, the Senior Service Administrator, or leadership.

SKILLS & ABILITIES:

  • High-energy, team-oriented, and customer-focused individual able to maintain a strong sense of urgency while ensuring accuracy and efficiency in all tasks.
  • Excellent time-management, organizational, critical-thinking, and prioritization skills.
  • Proficiency in Microsoft Office, especially Excel, is required.
  • Ability to stay focused on goals and follow tasks through to completion.
  • Reliable and punctual, with the ability to report to work as scheduled.
  • Comfortable working in a fast-paced, dynamic environment.
  • Strong verbal and written communication skills for both internal and external interaction.
  • Openness to receiving feedback and accountability for performance.
  • Ability to work cooperatively, maintaining a positive, professional attitude at all times.

Job Type: Full-time

Pay: $18.50 - $25.00 per hour
