Duties
- Manage front desk operations, greeting visitors and directing inquiries with professionalism and enthusiasm
- Operate multi-line phone systems to handle incoming calls efficiently, providing excellent customer support and routing messages accurately
- Maintain organized filing systems, both physical and digital, ensuring easy access to important documents
- Perform data entry and bookkeeping tasks using QuickBooks and other accounting software to support financial record-keeping
- Schedule appointments, manage calendars, and coordinate meetings for team members and clients with precision
- Assist with office management duties such as supply inventory, mail handling, and maintaining a clean workspace
- Proofread correspondence, reports, and other documents to ensure accuracy and professionalism
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and basic accounting tasks
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with high computer literacy and data entry accuracy
- Previous experience in customer service or personal assistant roles is advantageous
- Demonstrated ability to multitask efficiently while maintaining attention to detail and meeting deadlines
