Autonomous Auto Group is a busy independent pre-owned dealership looking for a motivated and organized Administrative Assistant to support our service department operations.

This position plays a major role in keeping our recon and service processes moving efficiently from start to finish. We are looking for someone who is dependable, proactive, detail-oriented, and comfortable working in a fast-paced automotive environment.

Responsibilities:

• Open, update, and close internal repair orders
• Gather approvals and manage extended warranty claims from authorization through final payment
• Track warranty submissions and follow up on unpaid claims
• Answer incoming service calls and schedule appointments
• Assist in coordinating and monitoring the recon process
• Communicate with vendors, warranty companies, and internal departments
• Maintain accurate records and documentation
• General administrative and clerical duties as needed

Qualifications:

• Automotive dealership or service department experience preferred
• Strong organizational and multitasking skills
• Comfortable using computer systems and learning dealership software
• Excellent phone and communication skills
• Ability to stay proactive and keep tasks moving without constant supervision
• Positive attitude and team-oriented mindset
