We are hiring Site Administrator or Document Controller to join our team.

Key Responsibilities:

1. Document Management

  • Receive, log, and distribute Civil & MEP drawings, material submittals, method statements, shop drawings, RFIs, and other project documents.
  • Maintain an organized and up-to-date document control system (both electronic and hard copies).
  • Ensure all documents follow the correct numbering, revision control, and formatting standards.

2. Civil & MEP Project Documentation

  • Track the status of Civil & MEP submissions (HVAC, Electrical, Plumbing, Firefighting, ELV, etc.).
  • Coordinate with Civil & MEP engineers for timely submission and resubmission of documents.
  • Update and maintain logs for MEP technical documents, correspondence, and consultant comments.

3. Distribution & Coordination

  • Distribute approved drawings, specifications, and technical documents to the relevant site teams and subcontractors.
  • Maintain a clear record of who received what document and when.
  • Coordinate with consultants, main contractors, and subcontractors regarding document submissions and approvals.

4. Quality & Compliance

  • Ensure all documentation complies with project standards, contractual requirements, and company quality procedures.
  • Support QA/QC and MEP teams with documents required for inspections, audits, and testing.
  • Assist in preparing documentation packages for handover (MEP O&M manuals, as-built records, test certificates).

5. System & Reporting

  • Use EDMS (Aconex, Procore, Asite, Primavera Contract Management, or company system) for uploading, tracking, and workflow management.
  • Generate weekly and monthly document status reports for project management.
  • Maintain backup and archive systems to ensure document security and retrieval.

Qualifications & Experience

  • Diploma or Bachelor’s degree in Administration, Engineering, or related field.
  • 2–5 years of experience as a Document Controller in Civil or MEP construction projects.
  • Strong knowledge of Civil & MEP project documentation (HVAC, Electrical, Plumbing, Firefighting).
  • Proficiency in MS Office, PDF editors, and Electronic Document Management Systems (Aconex/Procore/etc.).
  • Good understanding of construction drawings and technical documentation.
  • Strong organization, communication, and time-management skills.
