Site Based Team Lead

SUMMARY: The Site Based Team Lead works within the site based teams to maintain a solid administrative and coordinated foundation to serve the young people. While working with colleagues across the organization, the Team Lead ensures information is complete and accurate and resources are leveraged to support program activities.

I) Essential Duties and Responsibilities

  • Support and observation of the milieu floor as needed, providing supervision based feedback and coaching
  • Maintain and support program relationships and communication with proctor parents, ensuring timely information sharing and feedback through regular contact and monthly proctor meetings.
  • Provider regular, strengths based, 1:1 supervision to site based direct care staff, such as Engagement Coaches.
  • Maintain and support program relationships and communication with probation officers/case workers, ensuring timely updates, information sharing and feedback through regular contact and any necessary meetings.
  • Oversee collaboration and communication around issues related to facilities needs and concerns, ensuring information sharing and planning with the appropriate parties to to maintain compliance with required licensing and health standards.
  • Review and support program spending to facilitate successful operations within program budget limitations.
  • Facilitate and oversee youth individual budgets, spending requests, and documentation of these processes ongoing
  • Support coordination of youth home visits and ensure proper compliance of all respite requests in collaboration with youth teams.
  • Run Daily Morning check in meetings with youth to ensure ongoing communication around schedules, needs, etc.

Administrative

  • Maintain regular awareness of/ tracking for day to day program spending, working in collaboration with the SPM to ensure the program remains within necessary budget parameters.
  • Track and order stocks of office supplies and program snacks/foods for all site based programs.
  • Oversee and support curriculum development across site based activities (Independent Living Skills groups,, BRS Groups etc.)
  • Facilitate communication across the organization by attending all program meetings and other necessary meetings as required, documenting needs and changes, and creating and maintaining a notification system as appropriate.
  • Facilitate and provide structure to meetings that come under team lead responsibility
  • Provide supervisory support to direct care staff ( Engagement Coaches, interns etc)
  • Responsible for co-facilitating weekly team meetings.
  • Responsible for scheduling/calendars of site based staff to ensure required supervision of young people.
  • Facilitate monthly proctor meetings to ensure smooth regular communication of program changes/updates as necessary and to hear and provide feedback related to proctor needs.
  • Support and model the ongoing implementation of program practices, policies and procedures ( ie. CCAP phase system, CPS, etc.)

Program Support

  • Engage with regular department budget reviews in collaboration with the Manager of site based Programs.
  • Lead the planning and coordination of program activities, including but not limited to transportation, coverage, breaks, outings, groups etc.
  • Ensure the implementation of all Youth Progress policies and practices ongoing.
  • Collaborate with the Medication coordinator and the medication and healthcare assistant to work with medication and appointment needs ongoing.
  • Collaborate with the Intake Coordinator and engage with the intake process on any youth entering or exiting the program.
  • Collaborate with the Ed Manager to ensure appropriate BRS level support within the classroom settings.
  • Provision of oversight and support to the ECs in challenges and problem-solving with youth, especially supporting collaborative problem-solving and other YPA-approved therapeutic models.
  • Support team conversations when issues arise between proctors and youth.
  • Supports and assists the engagement coaches in planning and implementing regular treatment groups.
  • Facilitate information and need sharing with the Education Manager around school-based concerns arising with young people.
  • Support with higher level crisis intervention amongst onsite programs and provide coaching and debriefing as needed per escalation protocol.

Documentation and Tracking

  • Work in collaboration with the Community Based team lead, site based programs manager, and community based program manager to see through regular chart audits for documentation compliance.
  • Work in collaboration with the SPM to ensure completion and submission of all regulatory forms and reports to funding sources as required.
  • Review and approve BRS notes in conjunction with the Sitebased Programs Manager
  • Maintain records under compliance and organization protocol regarding young person placement and young person records.
  • Ensure direct care staff complete the daily pass-on and weekly recap and that the information is shared with appropriate staff and proctor(s) consistently.
  • Work with ECs ongoing to ensure staff have time and capacity to focus on completing documentation with due dates and services provided.
  • Provide direction and oversight to ensure direct care staff can conduct documentation, such as Parent Daily Report calls, daily pass-offs, etc. fluidly.
  • Responsible for reviewing information sharing systems and ensuring regular updates are provided out to all team members via tools such as daily pass on.

Other Duties

  • Other duties as assigned by the Manager of Programs and/or Director of Programs.

II) Position Requirements

Required:

  • Must meet Social Service Staff Designation which includes either:
  • A master’s degree from an accredited college or university with major study in social work or a closely allied field and one year of experience in the care and treatment of children; or
  • A bachelor’s degree with major study in social work, psychology, sociology or a closely allied field, and two years of experience in the care and rehabilitation of children.
  • 1+ years of progressive administrative, management, or supervisory experience in a social service environment is required.
  • Current driver’s license.
  • Commitment to advancing racial equity.

  • Experience providing services to youth involved in the juvenile justice and foster care systems.

III) Position Requirements:

  • Full Time: Yes, salaried.
  • On-Call: Participates in on-call rotation.
  • Hours: Typically 8a-5p, M-F. Some evenings and weekends as needed.
  • Co-workers: The person in this position will work with the Manager of Site Based Program, Ed Manager, Manager of Community Based Program, Site Based Team Lead, Director of Programs, site based staff and colleagues across the organization. This person will also work with community partners regarding all site based programs as needed.
  • Day to day: No two days are exactly alike. There is a great opportunity to build upon our current systems and processes to ensure efficiency and effectiveness in the role. The job is office-based, with scope for remote work, and includes occasional travel throughout our community. This position could be a great fit if you think critically and creatively and like having full & varied days.

Job Type: Full-time

Pay: $62,500.00 per year
