Key Responsibilities:

1. Document Management

  • Maintain and control all fit-out project documents including architectural drawings, shop drawings, MEP layouts, material submittals, method statements, and specifications.
  • Implement document control procedures to ensure proper logging, tracking, filing, and archiving of documents.
  • Ensure strict version control so that only approved and latest revisions are issued to site teams.
  • Receive, register, scan, and index incoming and outgoing documents (hard copy and electronic).
  • Maintain document registers, transmittals, logs, and databases in line with project requirements.

2. Distribution & Coordination

  • Ensure timely distribution of drawings, submittals, RFIs, mock-up approvals, and technical documents to site engineers, subcontractors, and consultants.
  • Coordinate with project managers, site engineers, consultants, suppliers, and subcontractors regarding document revisions, comments, and approvals.
  • Follow up on outstanding submittals, approvals, and consultant responses to prevent site delays.
  • Maintain continuous coordination with the site team to ensure correct documents are used during execution.

3. Quality & Compliance

  • Ensure all project documentation complies with ISO standards, company procedures, and client requirements.
  • Verify documents for accuracy, completeness, proper formatting, and correct reference before issuance.
  • Ensure obsolete or superseded documents are withdrawn from site circulation.
  • Support internal and external audits by maintaining organized, traceable, and updated records.

4. Reporting & Tracking

  • Prepare and maintain daily, weekly, and monthly document control reports.
  • Track submission schedules, approval timelines, and revision histories.
  • Monitor document workflow status and report potential delays or risks to the Project Manager.

5. Administrative & Site Support

  • Assist in preparing reports, presentations, and meeting minutes as required by the project team.
  • Support procurement, material approvals, and subcontract documentation processes.
  • Manage and update digital document management systems such as Aconex, Procore, SharePoint, or similar platforms.
  • Maintain proper filing of handover documents, O&M manuals, warranties, and as-built drawings
