Title: Society Administrator

Location: Riley County Historical Society (RCHS), Manhattan, Kansas

Status: Full Time, exempt. Hybrid potential after successful probationary period.

Salary Range: $55,000 - $65,000

Benefits: Annual PTO package; paid federal holidays; Annual benefit stipend.

The Riley County Historical Society is a private 501(c)3 organization located in Manhattan, Kansas. The organization is led by a volunteer Board of 15 Directors and supported by a staff of between 3-6 employees.

Our mission is to actively collect and preserve the diverse history of the community for future generations in partnership with the Riley County Historical Museum. Our visionis to spark curiosity and inspire interaction through the stories of Riley County.

Job Summary:

The RCHS seeks a Society Administrator to work closely with the Board of Directors and who possesses a diverse skill set to assist the organization in implementing its new strategic plan and beyond. The Society Administrator, who shall be supervised by the Museum Director under the direction of the Board, will collaborate with these parties in all aspects of operations and fulfillment of the Society's mission. The Society Administrator will supervise Society employees and volunteers, as needed.

The Society Administrator will work with the Board to develop policy and annual operating budgets, raise funds and manage finances, and expand community outreach through marketing, communications, and public relations. The Society Administrator will oversee daily operations and contracts associated with Society properties. The administrator will collaborate with the Museum Director in support of educational, interpretive, and collections programs, as needed; Other duties as assigned.

Position Responsibilities:

Leadership and Board Relations

  • Assist the Board and respective committees to formulate and uphold policies, support their activities, and engage with community partners.
  • In collaboration with the Board, update, maintain, and helps to execute the 2025 Seven-Year Strategic Plan in partnership with the Board, Society staff, and Museum Director.
  • Under the guidance of the Board, facilitate tasks associated with meetings including but not limited to securing meeting space, setting up virtual meeting capabilities, preparing and distributing agendas and all meeting materials in a timely manner; issue meeting reminders.
  • Supervise and ensure professional development of Society staff who assist in the operation of the organization and Society properties.

Development, Fundraising, and Fiscal Management

  • Assist with the development and management of the Society’s annual operating budget and capital and restricted funds; ensure financial sustainability and effective resource allocation for preservation, programs, buildings/grounds maintenance/operations, and grant making; all subject to the approval of the Board.
  • Forecast and anticipate future site and organization needs; develop long-range plans with Society staff, Board, and Museum Director; all subject to the approval of the Board.
  • Actively participate in annual membership campaigns, operations fundraising, and any future capital campaigns. Oversee financial operations to comply with reporting obligations. Partner with the Museum Director to secure and distribute grant funding. Support the Board’s annual signature and donor appreciation event(s).
  • Expand, maintain, and build rapport with existing Society relationships.
  • Regularly communicate with the RCHS Treasurer and Executive Board, financial advisor(s), and Bookkeeper concerning the annual operating budget, the special projects budget, RCHS finance committee activity, investments, grants, etc.
  • Work collaboratively with all Society committees.

Operations and Personnel Oversight

  • Supervise staff and volunteers who directly support Society operations and properties, ensuring efficient processes.
  • Be responsible for all Society personnel matters including employment and labor law compliance, hiring, training, supervision and evaluations, professional development, disciplinary actions and terminations, with the support of the Executive Board.
  • Oversee Society contractors; in collaboration with the preservation committee and Museum Director, ensure all historic preservation and maintenance needs are being met and preservation laws/guidelines are being adhered to.

Marketing

  • Work with the communications committee and Museum Director to maintain and update the Society’s social media presence, assist with the design and delivery of e-blasts, assure production of Society newsletters; update website content, help develop marketing campaigns, brochures and leaflets for programming.

Outreach and Public Relations

  • Serve as the Board’s liaison to the public and community, as needed.
  • Ensure the integrity, reputation, and trust of the organization are upheld.
  • Collaborate with the Board through the development of creative and enriching strategies to engage and expand audiences, stakeholders, and financial support.

Requirements

  • Hold a bachelor’s degree in a relevant field.
  • Have a minimum of 5 – 7 years of relevant work experience demonstrating successful accomplishment of some or all of the following skills: non-profit, business, or cultural resource management, development/fundraising, staff leadership, budget development/management, project management, public outreach/marketing, and historic preservation.
  • Present excellent interpersonal, public relations, and written and oral communication skills. Exhibit a professional level of appropriate discretion and transparency.
  • Ability to work collaboratively with a busy and diverse team in support of mission-based goals; Successful candidate must be organized and attentive to detail.
