Spa Coordinator and Socia Media Assistant (Luxury Skincare Practice)

Holistic Skincare Brand & Studio Operations Assistant

About Us We are a boutique, holistic, nature-forward esthetics practice and independent skincare collection rooted in the power of aromatherapy, intentional formulation, and the wisdom of plants. We are a sensory, wellness-focused environment where every detail matters — from the products on the shelf to the experience our clients feel the moment they walk in. This is not a typical workplace, and we are not looking for a typical candidate.

The Role We are seeking a dynamic, warmhearted, and highly organized Holistic Skincare Brand & Studio Operations Assistant to support both our holistic esthetics practice and our independent skincare line. This is a hands-on, multifaceted role blending creative marketing, client relations, brand support, and studio operations into one meaningful position. Your presence allows our lead esthetician to stay fully present with clients — and that matters deeply to us. No two days will look exactly alike.

Responsibilities

Marketing & Brand

  • Manage and grow all social media platforms with consistent, on-brand content
  • Create graphics, marketing collateral, and digital content using Canva and Adobe Photoshop
  • Develop and execute promotional campaigns for both the esthetics practice and skincare line
  • Support inside and outside sales efforts for our independent skincare collection
  • Open and develop new wholesale and retail accounts outside of Texas
  • Assist with product outreach and relationship building with potential stockists and partners

Client Relations & Studio Support

  • Manage front desk operations, greeting clients warmly and delivering outstanding customer service
  • Confirm, schedule, and manage client appointments using calendar management tools
  • Check in and out sauna pod clients while lead esthetician is in treatment
  • Send thank you cards and maintain meaningful, thoughtful client communication
  • Handle phone and email communication with professionalism and warmth
  • Create a welcoming, calming experience for every person who walks through our door

Operations & Administration

  • Manage product shipping, inventory tracking, and order fulfillment
  • Support bookkeeping activities including invoicing, payments, and expense tracking
  • Perform clerical duties including proofreading, data entry, and maintaining organized records
  • Utilize Google Workspace and Microsoft Office for daily administrative tasks
  • Keep the office and studio tidy, organized, and running smoothly
  • Identify and implement process improvements to support overall studio efficiency

What We're Looking For

  • Background in service, hospitality, spa, or wellness environments — you understand the importance of experience and atmosphere
  • Proficient in Canva, Adobe Photoshop, Microsoft Office Suite, Google Workspace, and all major social media platforms
  • Strong organizational skills with the ability to prioritize and manage multiple responsibilities gracefully
  • Familiarity with QuickBooks or basic bookkeeping practices is a plus
  • Experience with GlossGenius scheduling software is a plus, but not required
  • Excellent communicator with keen attention to detail and strong time management
  • Self-starter who takes initiative and works well independently
  • Holistic-minded and genuinely aligned with wellness, nature, and intentional living
  • Bilingual abilities are a welcome plus to serve our diverse clientele
  • Available Saturdays and select weekday evenings

Please Note We are not seeking candidates with an esthetics license for this position. If you hold an active esthetics license and are looking for a treatment role, this posting is not the right fit.

Compensation & Schedule

  • Pay: $14–$18 per hour, commensurate with experience and can increase quarterly dependent on performance as we are searching for someone to grow with
  • Commission opportunities available
  • 15–30 hours per week, part-time onsite — hours may grow naturally as the business grows
  • Must be available Saturdays (not every Saturday but flow dependent and to support pop up shops) and select weekday evenings — Sundays are not required UNLESS there is an event but very rare.
  • Background check and reference check required prior to hire
  • 90-day probationary period for mutual fit assessment
  • Must be smoke-free and synthetic fragrance-free — this is a scent-sensitive, wellness environment

Sound Like You? If you lead with warmth, thrive in a creative and wellness-centered environment, and want to be part of something truly meaningful — we'd love to hear from you. Please submit your resume along with a brief note about why this role speaks to you.
