Job Overview
We are seeking a highly organized and bilingual (Spanish-speaking) Office Manager to oversee daily operations at our law firm. The ideal candidate will have extensive office management experience, strong communication skills, and the ability to supervise staff effectively. This role involves managing administrative functions, coordinating client interactions, and ensuring the smooth functioning of the office environment. The Office Manager will play a key role in supporting legal staff and maintaining excellent client service standards.

Responsibilities

  • Manage day-to-day office operations, including front desk duties and multi-line phone systems
  • Oversee scheduling management for attorneys and staff, including calendar coordination and appointment setting
  • Supervise administrative staff, providing training & development to enhance team performance
  • Handle vendor management, including negotiating contracts and maintaining vendor relationships
  • Oversee bookkeeping, QuickBooks entries, payroll processing, and budgeting tasks
  • Coordinate event planning for firm functions, client meetings, and community outreach activities
  • Manage human resources functions such as onboarding new employees, maintaining personnel records, and assisting with HR policies
  • Ensure proper filing systems are maintained for legal documents and general office records
  • Assist with medical office management tasks as needed in specialized cases or clinics affiliated with the firm
  • Maintain high standards of phone etiquette and professional communication with clients and partners

Skills

  • Bilingual fluency in Spanish and English is required
  • Proven experience in office management within a legal or professional services environment
  • Strong organizational skills with the ability to multitask efficiently
  • Excellent communication skills, both verbal and written
  • Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
  • Experience in supervising staff, vendor management, and team leadership
  • Knowledge of bookkeeping, payroll processing, budgeting, and clerical procedures
  • Ability to handle front desk responsibilities with professionalism and courtesy
  • Demonstrated ability to manage human resources functions effectively
  • Experience in event planning, training & development initiatives, and medical office management is a plus

Job Type: Full-time

Pay: $25.83 - $31.11 per hour
