Specialist Sales Administration and Order Management - 5 days in office

MAN Engines & Components is the primary importer and service representative of MAN engines, components and parts with responsibility for North, Central and South America since 1997. The American subsidiary of MAN Truck & Bus SE has a long-term experience of packaging MAN high speed marine engines for major boat builders and its distributors.
MAN Engines & Components is also the exclusive importer of industrial diesel and gas engines for construction equipment, agricultural machinery and power generation including CHP (combined heat power) application.
High quality chassis components, transfer cases and bus and heavy-duty truck axles are also part of the product portfolio. Additionally, MAN Engines & Components controls and maintains the service dealer network, with around 90 service locations for MAN marine engines in its territory.

Summary:

The Specialist Sales Administrator & Order Management plays a central role in supporting the sales organization and ensuring a seamless order-to-delivery experience for customers. This position combines sales operations, customer support, and order lifecycle management. The specialist ensures the sales team can operate efficiently, customers receive timely and accurate information, and every order is processed, fulfilled, and delivered with precision.

Roles and Responsibilities - Sales Administration

  • Support the sales team with quotes, proposals, contracts, and customer documentation.
  • Maintain accurate and up‑to‑date information in ERP/CRM systems, including leads, opportunities, pricing, and account details.
  • Coordinate communication between sales, finance, logistics, and other internal teams.
  • Assist with customer inquiries related to pricing, product availability, lead times, and general sales support.
  • Prepare all necessary commercial documents to support export operations and duty drawback filing.

Roles and Responsibilities - Order Management

  • Process customer purchase orders with accuracy and ensure compliance with internal policies.
  • Validate order details, pricing, terms, and product configurations before entry into ERP/CRM systems.
  • Monitor order status from entry through fulfillment, shipment, and delivery.
  • Coordinate with factory partners, suppliers, warehouse operations, logistics, and supply chain teams to ensure on‑time fulfillment.
  • Communicate proactively with customers regarding order updates, delays, or changes.
  • Manage order modifications, cancellations, returns, and credits.
  • Troubleshoot and resolve order-related issues to maintain customer satisfaction.

Requirements:

  • Bachelor's degree in Business Administration, Supply Chain Management, International Trade, or related fields.
  • 2-5 Years of professional experience in sales administration, order management, or similar roles.
  • Ability to work independently while contributing effectively within a team environment.
  • Teamwork-driven with collaborative approach.
  • High attention to detail and strong organizational skills.
  • Excellent communication skills for working with cross functional teams.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with ERP/CRM Systems (SAGE, Salesforce).
  • Basic knowledge of import and export operations.
  • Experience in industrial, marine, or technical product environments is preferred.
  • German and/or Spanish language skills are a plus.
