Sponsorship Operations Assistant

Temporary Position: June 22 – July 24, 2026

Position Overview

Festival Napa Valley seeks a highly organized and detail-oriented Seasonal Sponsorship Operations Assistant to support sponsor activations, brand activation logistics, and partnership fulfillment during the Festival's 20th Anniversary season.

Working closely with the Sponsorships & Partnerships team, this role will help ensure a seamless experience for sponsors, partners, and their guests before, during, and after Festival events. The ideal candidate thrives in a fast-paced environment, enjoys both administrative and hands-on event work, and is excited to contribute to one of Napa Valley's premier cultural events.

Experience supporting live events, festivals, theater, film, hospitality, nonprofit events, or production environments is strongly preferred.

Key ResponsibilitiesSponsorship Support

  • Assist with sponsor communications and relationship management
  • Support sponsorship fulfillment and activation logistics
  • Coordinate sponsor deliverables and materials
  • Assist with sponsor pop-ups and activations throughout Festival week
  • Support sponsor hospitality and guest experience initiatives

Event Operations & Logistics

  • Assist with designated event load-in and load-out across Festival venues
  • Coordinate and track sponsor shipments and event materials arriving at CIA at Copia and other Festival locations
  • Organize and distribute materials, amenities, and supplies to final event destinations
  • Support setup and replenishment of patron hospitality spaces, including the Patron Lounge and Festival Live! areas
  • Assist with transportation and delivery of marketing materials, signage, patron packets, gatefolds, Crescendo magazines, and other Festival collateral
  • Support wine logistics, including movement and coordination of auction wines and hospitality inventory
  • Assist with credential, passport, and guest materials distribution as needed

Administrative & Cross-Department Support

  • Support maintenance and updating of sponsorship tracking documents, concert scripts, and records
  • Assist with follow-up and thank you communications
  • Support content capture for sponsor activations and select Festival events
  • Provide general administrative support as needed

Qualifications

  • 3–5 years of experience in events, sponsorships, hospitality, festivals, live production, theater, film, nonprofit events, or related environments
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines simultaneously
  • Comfortable performing both administrative and physical event-support tasks
  • Proficiency with Microsoft Office and Google Workspace
  • Experience with CRM, donor, or sponsor databases is a plus
  • Ability to lift, transport, and move event materials as needed
  • Availability to work evenings and weekends during Festival events

Term of Employment

This is a temporary seasonal position running from June 22 through July 24, 2026.

Pay: $26.00 - $30.00 per hour

Work Location: Hybrid remote in Napa, CA 94558
