Job Summary

The Purchase & Store Executive will manage procurement, inventory, and dispatch operations to ensure an efficient supply chain. The role involves vendor negotiation, purchase order processing, ERP coordination, and adherence to FIFO and 5S principles. The candidate should ensure cost-effective purchasing, timely payments, and continuous process improvements to support smooth operational efficiency.

Key Responsibilities

Vendor Management

  • Negotiate and secure cost-effective purchases to optimize the procurement process.
  • Build and maintain strong relationships with vendors to ensure timely and quality supplies.

Purchase Order Processing

  • Prepare purchase orders (POs) on time.
  • Ensure timely approval and sanctioning of POs by coordinating with the Head of Department (HOD).

Financial Coordination

  • Coordinate with the accounts department to ensure on-time payment release to vendors.

ERP Implementation

  • Implement and oversee the integration of a Microsoft-based Enterprise Resource Planning (ERP) system across all divisions to enhance supply chain efficiency.

Innovation and Improvement

  • Identify and implement new strategies or processes that contribute to overall supply chain improvement.

Project Management

  • Oversee and ensure the successful implementation of new projects that bring measurable benefits to the organization.

Team Coordination and Support

  • Foster a collaborative and supportive team environment.

Proper Stock Keeping

  • Ensure on-time availability of all required items in inventory.
  • Implement and follow the FIFO (First In, First Out) method for stock rotation.

Dispatch Management

  • Ensure correct dispatch methods are followed, adhering to FIFO principles.
  • Monitor and optimize software entries to accurately reflect current stock levels.

Store Organization

  • Maintain a clean, well-organized store environment following the 5S principlesSort, Set in Order, Shine, Standardize, and Sustain.

Key Skills and Competencies:

  • Strong knowledge of procurement processes, inventory management, and vendor development.
  • Excellent negotiation, analytical, and cost optimization skills.
  • Proficiency in ERP systems (preferably Microsoft-based) and other procurement software.
  • Sound understanding of supply chain management, logistics, and dispatch procedures.
  • Ability to implement and sustain 5S and FIFO practices effectively.
  • Strong project coordination and cross-functional collaboration skills.
  • High level of attention to detail and accuracy in documentation and reporting.
  • Effective communication and interpersonal skills to liaise with vendors, internal departments, and management.
  • Problem-solving mindset with the ability to identify and implement process improvements.
  • Capability to work under pressure, manage multiple priorities, and meet deadlines.

Qualifications and Experience:

  • Diploma or Bachelor’s Degree.
  • 4+ years of experience in purchase, procurement, or store operations within a manufacturing, engineering, or industrial setup.
  • Hands-on experience in vendor negotiations, inventory control, and ERP-based purchase management.
  • Exposure to 5S implementation, supply chain efficiency projects, and cost reduction initiatives will be an added advantage.
