Sr. Executive Administration / Assistant Manager Administration
Job Summary:
We are seeking a detail-oriented and proactive Sr. Executive / Assistant Manager Administration with a solid background in SAP and comprehensive office & factory administration. The ideal candidate will ensure smooth administrative operations, from procurement and asset management to legal coordination and facility maintenance. This role demands exceptional organizational skills, hands-on SAP experience, and the ability to manage a wide range of administrative tasks efficiently.
Key Responsibilities
- Handle SAP-based operations, including initiating purchase requisitions and posting GRNs.
- Manage office & factory administration, including maintenance, renovation, furniture, and supplies.
- Oversee company vehicles and fuel management (Fuel cards, maintenance, tax renewals, freight, and dealership coordination).
- Negotiate and renew rental agreements and manage insurance claims for vehicles/motorbikes.
- Coordinate with legal counsel, government departments, and labor offices; attend court proceedings when required.
- Manage travel arrangements, hotel bookings, visas, tickets, and guest logistics.
- Supervise housekeeping staff, drivers, office boys, riders, and front desk operations.
- Process vendor invoices and manage petty cash and expense claims.
- Approve CAPEX forms and oversee asset purchases, installations, and repairs.
- Ensure utility availability, office security, and confidentiality of sensitive information.
- Safeguard confidential information and ensure compliance with company policies.
- Guide and supervise junior admin staff and perform additional tasks assigned by senior management.
Qualifications & Skills
- Bachelor’s degree in Business Administration or relevant field.
- 3–4 years of experience in administration with hands-on SAP exposure (PR & GRN).
- Proven experience in office/factory administration, vendor management, and government liaison.
- Strong negotiation, multitasking, and leadership abilities.
- High integrity and ability to handle confidential matters with discretion.
- Experience in manufacturing / factory environment preferred.
- Exposure to corporate office administration is a strong advantage.
