Staff Accountant

Position Summary:

Theory Wellness is seeking a detail-oriented and proactive Staff Accountant to support daily accounting operations across multiple entities and retail locations. As an employee-owned company, Theory Wellness offers the opportunity to participate in our Employee Stock Ownership Plan (ESOP) while contributing to a dynamic and growing organization.

This role is responsible for bookkeeping, account reconciliations, accounts payable support, financial reporting, expense monitoring, and month-end close activities. The ideal candidate is analytical, organized, and comfortable working in a fast-paced, multi-location environment. This position partners closely with Accounting, FP&A, and operational leaders to ensure financial accuracy, support cost-control initiatives, maintain compliance with company policies, and drive continuous process improvements.

Key Responsibilities:

Bookkeeping and Entity Ownership

  • Serve as the primary accountant for assigned locations, related party entities, or other designated business units.
  • Maintain accurate books and records in accordance with company policies and accounting standards.
  • Responsibilities include:
  • Preparing and reviewing daily cash reporting and reconciliations
  • Processing accounts payable and coordinating check runs
  • Monthly inventory and COGS adjustments
  • Maintaining and tracking fixed assets
  • Applying company allocation methodologies to expenses
  • Supporting intercompany transactions and reconciliations, as applicable

Month-End Close & Accounting Operations

  • Key player in the monthly, quarterly, and year-end close processes.
  • Prepare and post journal entries, accruals, and account adjustments.
  • Perform balance sheet reconciliations and investigate variances.
  • Support the preparation of financial statements and management reports.
  • Maintain and strengthen accounting processes and internal controls to ensure accurate financial reporting.

Project Work & Cross-Functional Collaboration

  • Lead or participate in special projects that improve accounting operations and organizational performance.
  • Develop and maintain internal reports, dashboards, and analyses to support strategic decision-making.
  • Collaborate with Accounting, FP&A, Operations, and department managers to provide financial insight and reporting.
  • Support department leaders in managing expenditures within approved budgets across multiple cost centers.
  • Recommend and implement process improvements that enhance efficiency, accuracy, and visibility.

Accounts Payable Support & Vendor Management

  • Serve as a point of contact for urgent or sensitive AP matters received through accounting inboxes.
  • Support the accounting team in addressing and resolving day-to-day AP requests.
  • Ensure all expenses comply with company policies and applicable regulations.
  • Maintain accurate and up-to-date vendor records and documentation.
  • Assist with the development, maintenance, and communication of company-wide expense policies and procedures.
  • Perform regular reconciliations and resolve discrepancies in a timely manner.
  • Assist with annual 1099 preparation and filing requirements.
  • Support internal controls related to accounts payable and vendor management.

Expense Oversight & Financial Analysis

  • Perform daily reviews of department-level profit and loss statements across multiple entities.
  • Monitor departmental spending, identify trends, and investigate unusual variances.
  • Partner with Finance and department leaders to support budgeting, forecasting, and cost-control initiatives.
  • Identify opportunities for operational efficiencies and cost savings.
  • Assist in the preparation of management reporting packages and financial analyses.

Qualifications:

  • Bachelor's degree in accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 3 years of accounting, bookkeeping, or related financial experience.
  • Strong understanding of general ledger accounting, reconciliations, and financial reporting.
  • Advanced proficiency in Microsoft Excel and Google Workspace.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and deadlines with minimal supervision.
  • Strong communication and interpersonal skills.

Preferred

  • Experience with QuickBooks, Intuit Enterprise Suite, ERP systems, Mineral Tree or similar accounting platforms.
  • Experience with multi-entity and multi-location accounting environments.
  • Advanced Excel skills including Pivot Tables, XLOOKUP, Power Query, and financial modeling.
  • Experience utilizing AI tools
  • Experience with fixed asset accounting and account reconciliations.
  • Experience supporting audits and preparing audit schedules.

Experience in retail, manufacturing, cannabis, or other highly regulated industries is a plus!

Success will be measured by:

  • Accuracy and timeliness of financial reporting
  • Completion of reconciliations and month-end close activities
  • Effective resolution of AP and vendor-related issues
  • Strong budget and expense monitoring support
  • Identification and implementation of process improvements
  • Consistent adherence to company policies and internal controls
