Education Duties:
- Assist in planning, developing, directing, and coordinating the facility’s educational program, ensuring compliance with all applicable federal and state guidelines.
- Support preparation and scheduling of meaningful in-services and ongoing training projects.
- Assist with creating and maintaining training materials and orientation programs.
- Prepare correspondence, documentation, and reports related to education and training.
- Maintain and update educational files and databases.
- Schedule and organize meetings, record minutes, and transcribe or edit notes from meetings.
- Answer and route phone calls to appropriate parties.
- Prepare and distribute mailings, packages, and educational materials.
- Monitor and maintain department spreadsheets and other tracking systems.
- Order and track office supplies and assist with related invoices and purchasing documentation.
- Maintain confidentiality of all records and sensitive information.
- Perform photocopying, scanning, and faxing as needed.
HR Duties:
- Assist in conducting all aspects of talent acquisition, including recruiting, onboarding, and orientation.
- Maintain HRIS records, compile reports, and audit employee files for accuracy and completion.
- Complete pre-employment processes, including scheduling appointments and ensuring all paperwork is complete.
- Prepares HR-related documentation, such as interview packets, pre-employment packets, onboarding packets, and termination paperwork.
- Maintains the applicant tracking portal.
- Maintain I-9 forms and ensure compliance with reporting requirements.
- Generate and provide requested HR data and reports to management as needed.
- Support HRIS database management and maintenance related to human resources operations.
Peripheral Job Duties:
- Follow Iron County Medical Care Facility Policies and Procedures.
- Attend in-services, training programs, etc. as requested.
- Other duties as assigned by direct supervisors and/or Administrator.
- Associate’s degree in relevant field or equivalent education and experience.
- Two years of administrative assistant experience, preferably in HR or education/training.
- Strong organizational and communication skills.
- Advanced skills in Microsoft Office applications required. Must pass a computer proficiency test at the advanced level.
- Attention to detail and confidentiality.
- Ability to manage multiple tasks and prioritize effectively.
