Staffing Specialist for Assisted Living

TITLE: Staffing Coordinator

REPORTS TO: Health Service Director

STATUS: Non-Exempt

SUMMARY

Purpose: The Staffing Coordinator is responsible for organization of Health Service Department schedules and paperwork including schedule development, attendance tracking, assignment development, departmental training, certification requirements and continuing education requirements, conference schedules and supply maintenance.

ESSENTIAL FUNCTIONS

Required:

  • Leadership through planning, directing, communicating, and coaching. This position requires strong written and verbal communication skills, strong personnel skills, and positive community relations skills to be successful.
  • Excellent written, verbal, grammatical and punctuation skills.
  • Must be self-motivated and have the ability to work independently and make decisions.
  • Excellent organizational skills; detail oriented.
  • Provide on-call coverage for Resident Care Associate or Med Aide needs, as necessary.

DUTIES

Typical:

  • Schedule Development:

The Staffing Coordinator is responsible for recruitment and preliminary selection of health service employees, and schedule development in a timely manner. Schedules will be posted within acceptable timeframes, and consideration shall be given for various factors such as seniority, requests for time off, acceptable attendance, and quality of work performed. Fair and reasonable consideration will be given to each staff member with regard to schedule development to enhance the strongest staff performance from each member.

  • Assignment Development:

The Staffing Coordinator will develop assignment lists for various caregiver duties as assigned by the Resident Care Coordinator and/or Health Service Director. The assignment sheets will consider the tasks noted in the resident service plan and will further clarify the job duties of the assignment. This position may adjust or assign caregiver tasks as deemed necessary to improve the quality of resident care.

  • Departmental Training:

The Staffing Coordinator will assist with screening and interviewing all potential resident care associates for employment. This position will schedule all newly hired health service employees for orientation and training. The Staffing Coordinator will schedule and notify all staff training and meetings as directed by the RCC or HSD. The Staffing Coordinator will provide one on one training and evaluation for all new resident care associates prior to working with residents independently.

  • Certification Requirements and Continuing Education:

The Staffing Coordinator organizes, and schedules required education and training for the Nursing Department from lists of items needed as provided by the Health Service Director. The Staffing Coordinator tracks completion of the training and returns the noted lists or certificates to the Health Service Director and/or Property Manager for documentation and filing.

  • Supply Inventory Orders and Maintenance:

The Staffing Coordinator will order health service supplies to maintain par levels as established by the Health Services Director. The Staffing Coordinator will remain within the financial budget provided by the Executive Director and discuss all additional charges prior to submitting an order.

  • Audits of Facility Documents:

Staffing Coordinator will audit task sheets turned in by staff for clerical errors, required initial areas any notes written by staff pertaining to current assignment.

  • Communication with co-workers:

The Staffing Coordinator is responsible for excellence in communication with co-

workers, showing initiative in overcoming obstacles, taking actions, which assists others beyond

job responsibilities, and having a positive impact on workers

  • Safety Compliance:

The Staffing Coordinator is responsible for ensuring that they work in a safe manner and that unsafe actions are to be managed. Compliance with Safety Committee Standards is required. Should workplace injuries occur, the Staffing Coordinator will work with the HSD and HR to appropriately adjust the employee’s schedule, following a medical providers instructions.

SUPERVISION

Received: Reports to the Health Service Director

Given: Responsible for training and support in clinical matters as determined by the Health Service Director.

EDUCATION & LICENSING

Required: High School Diploma or equivalent.

Preferred: Computer Literacy.

EXPERIENCE

Required: Must have proven ability to communicate effectively

Preferred: Minimum one year of experience in assisted living.

Experience in Caregiving.

Experience with Microsoft Word and Microsoft Excel.

WORKING CONDITIONS

Usual: Professional office environment. Use PC, telephones, word processing, and other standard office equipment; verbally able to articulate in person and over the phone.

Special: The Staffing Coordinator encounters occasional stressful conditions dealing with residents and employees. The Staffing Coordinator must be able to work well under pressure, to prioritize tasks, and follow through with ideas. The Staffing Coordinator must be able to assist with obtaining RA or MA coverage on assigned calendar days and be available to work if no alternative coverage is accessible.

PHYSICAL REQUIREMENTS

Usual: Sitting, walking, bending, data entry, reading, written and verbal communication, and lifting up to 50 pounds.

Usual: Comply with state specific requirements

Pay: $22.00 - $26.00 per hour
