Job Summary
The Bangalore Club is seeking a highly organized and dependable PA to the Secretary to support day-to-day administrative, secretarial, and committee-related functions. The role requires excellent communication skills (verbal & written) and the ability to coordinate effectively across departments and committees.
Key Responsibilities
- Handle the Secretary’s routine correspondence and attend to phone calls
- Prepare minutes of General Committee Meetings, AGM/EGM by attending the meetings
- Draft and prepare Action Taken Reports of General Committee Meetings
- Forward internal notes to concerned departments based on General Committee decisions
- Reply to members’ correspondence regarding outcomes of General Committee meetings
- Prepare official letters, notices, suspensions, and communications as directed by the General Committee
- Coordinate and prepare General Committee meeting folders with concerned staff
- Assist the Secretary during balloting of applicants for Club membership
- Prepare letters, reports, and documents as required by the Secretary
- Maintain and update correspondence files linked to General Committee records
- Maintain members’ legal case files and correspondence; follow up with Club Legal Advisors
- Ensure strict confidentiality of Club matters and documentation
- Maintain safe custody of all files, documents, bylaws, and Club rules
- Prepare and maintain correspondence related to Club projects.
- Assist in preparing content for the Club’s monthly magazine “DOVECOT” by coordinating with HoDs, the Secretary, and the Dovecot Sub-Committee
- Handle duties of PA to Secretary-2 during their temporary absence
- Carry out any other duties assigned by the President, Vice President, or Secretary
Required Qualifications
- Graduate in any discipline
- Proficiency in shorthand (mandatory).
Required Skills
- Proven experience as an Executive Assistant / Personal Assistant / Secretarial role
- Excellent written and verbal communication skills in English
- Strong drafting, documentation, and minute-writing skills
- High level of discretion and integrity in handling confidential matters
- Proficiency in MS Office (Word, Excel, Outlook)
- Strong organizational, coordination, and multitasking abilities
- Ability to work independently and meet deadlines
Preferred Experience
- Experience working with committees, boards, clubs, or associations
- Familiarity with bylaws, legal correspondence, and administrative governance
Job Type: Full-time
Pay: ₹45,000.00 - ₹60,000.00 per month
