TITLE: Strategic Purchasing Specialist

We are seeking a detail-oriented and proactive Strategic Purchasing Specialist to oversee purchasing activities and maintain the accuracy of procurement records. This role is responsible for evaluating purchase transactions, monitoring orders, managing documentation, and ensuring timely receipt of materials and shipments. The position plays a key part in optimizing purchasing efficiency and supporting compliance and audit readiness.

MAIN RESPONSIBILITIES

  • Verify invoices and packing lists for accuracy—confirming pricing, item descriptions, and case quantities before shipments are finalized.
  • Maintain and update supplier pricing databases to ensure accurate cost records.
  • Collaborate with the Purchasing Manager to continually assess inventory and sales data to develop and issue purchase orders.
  • Prepare and process indirect purchase orders for freight and MRO (maintenance, repair, and operations) materials.
  • Investigate and resolve any discrepancies, including count verifications, debit or credit memos, and supplier communications.
  • Partner with the accounting team to facilitate payments, including prepayments, and provide the necessary purchasing documentation.
  • Keep thorough documentation of all purchase orders and shipment records to support audits and SOX compliance.
  • Record incoming shipments in the system and reconcile physical counts with shipping and receiving documents before submitting for payment per supplier terms.
  • Coordinate with logistics to confirm that all shipment documentation is complete and accurate before container arrivals.

QUALIFICATIONS

  • Minimum of 2 years of experience in purchasing or procurement support.
  • Strong proficiency in Microsoft Office, particularly Excel.
  • Highly organized, self-driven, and capable of managing multiple priorities simultaneously.
  • Excellent communication, analytical, and problem-solving abilities.
  • Working knowledge of Spanish is a plus.
  • Bachelor's degree preferred.
