Student Services Specialist

Primary Purpose:

Under moderate supervision organize and manage the routine work activities of a central administrative department office and provide clerical support to the department with an emphasis on State and Federal Programs. Administrative, procurement and accounting responsibilities include requisitions, purchase orders, quote and bid specifications and supporting personnel to ensure compliance with grant administration. A percentage of this position is federally funded.

Qualifications: Education/Certification:

High School diploma or GED required, Associate’s degree or higher preferred Coursework in business, accounting or finance related field preferred

Special Knowledge/Skills:

Knowledge of state and federal programs including ESSA, SCE, Title III, etc. Proficient in Outlook, Word, and PowerPoint; Significant knowledge and experience with Excel; Familiar with internal accounting controls and accounting procedures; Administrative organization, calendar maintenance, planning meetings, and events; Interpersonal relations, teamwork and team-building, and customer service; Developing solutions to complex problems in unique and innovative ways; Advanced organizational and problem-solving skills to coordinate requests and incidents, including determining priorities and allocating tasks with highly sensitive and confidential data

Experience: Three years of successful experience in administrative assistant role preferred Experience in a school setting preferred

Major Responsibilities and Duties:

Assist in monitoring grant-funded programs and their expenditures to ensure compliance with regulations and guidelines and ensure that programs are cost effective and managed wisely. Assists in federal grant budget preparation and planning. Attend professional development training and stay current with all local, state, and federal guidelines including Education Department General Administrative Regulations (EDGAR), ESSA, and ESSER. Reconcile balance sheet accounts related to the financial administration of the grants and department budget. Monitor and assist with any reporting requirements of state or federal programs. Manages calendar of appointments for the Student Services Department as requested. Monitor and process personnel time records including leave requests and reports and submit in accordance with district procedures. Works collaboratively with campus and department secretaries and administrative assistants.Assists with creation and management of budget and expenditures, working with the finance department as necessary. Coordinates logistics and completes meeting agendas, minutes, and logistics. Communicates effectively both in writing and orally. Acts with discretion and independent judgment to maintain confidentiality with respect to committee discussions, department discussion items, etc. Prepare correspondence, forms, reports, manuals, and presentations for the department head and other department staff members. Make meeting arrangements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment. Assists with programs, projects, and activities in the student services department such as Resource Center, CPR Certifications, threat assessment documentation, etc. Manages expense reporting, invoice processing, office supply inventory, and other routine processes. Manages incoming calls, handles questions and requests that fall within the level of responsibility. Performs all duties in a professional, honest, and ethical manner. Follows all district safety protocols and emergency procedures. All other duties as assigned.

Pay: $36,623.00 - $54,935.00 per year
