The Supply Chain Specialist is responsible for the procurement and processing of all parts inbound and outbound from OptiPro. The Supply Chain Specialist maintains inventory levels, supplies for departments and up-to-date processes and procedures designed to maintain the efficiency of material flow throughout OptiPro.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Ensures accuracy of ERP system inventory levels.
- Ensure proper perpetual inventory levels to minimize lead times and stock outs.
- Maintains the Purchase Requisition system (non “Job” related purchases).
- Process Automated Purchasing daily.
- Ensure that all PO’s have accurate due dates with the use of the “Open PO Report”.
- Communicate via email and telephone with suppliers and shipping companies to ensure that all critical deliveries arrive at their destinations on time.
- Notify the Supply Chain Manager and Project Management Team in a timely manner if a critical delivery is going to be late.
- Work with suppliers to solve invoicing issues that could delay critical shipments.
- Ensures the safe shipping of material out of the company with correct documentation and proper notification to recipients.
- Process all received shipments through ERP system daily.
- Maintain a clean, organized work area in Shipping/Receiving area (floors/tables) to not cause delays with incoming/outgoing shipments.
- Maintains supplier relationships using approved vendors lists and scorecards.
- Maintains customer relationships with professional and courteous communications while processing customer orders/requests.
- Ensures the timely and accurate processing of work orders including the opening, issuing materials, and closing.
- Ensure jobs have the correct material pulled and issued when they are ready for them.
- Process inspected parts through ERP System.
- Developing procedures as needed and keeping existing procedures updated.
- Always represents OptiPro in a professional and courteous manner.

EDUCATION and/or EXPERIENCE
H.S. degree or equivalent; and one to four years related experience and/or training; or equivalent combination of education and experience in a materials management environment.

MEASURES OF PERFORMANCE (KPI’S)
This position will be evaluated against the following criteria:
- Ability to open, process and close sales orders in a timely and accurate manner.
- Accuracy in the maintenance of inventory records and cost files.
- Number and value of inventory discrepancies.
- Number of stock outs (cart not ready, part not in inventory, etc.).
- Inventory turns.
- Number of POs that are past due.
- “Parts” sales orders on time delivery.
- Time elapsed to fulfill demand (time to order from demand created time to acquire material, and time to refill carts from completion point).
- Ability to process Purchase Requests in a timely and accurate manner.
