SUPPORT SERVICE 2 – FLEET MANAGEMENT

Summary: The Support Service 2 is under direct supervision of the Mechanic Shop Manager – Heavy. They are responsible for providing clerical and administrative support to the department’s services and all program administration.

  • Manage all aspects of the fuel credit card system used with all Parish vehicles and equipment, which consists of creating and distributing a monthly fuel transaction report for all Parish Departments, ordering new and replacement cards, issuing fuel pins, entering new vehicles/equipment.
  • Maintains office by organizing office operations, perform clerical functions including copying, filing, answering phone, recording minutes of staff meeting, and correspondence with all Parish Departments.
  • Create requisitions, receive deliveries, receive purchase orders, forward invoices to Accounts Payable.
  • Schedule appointments and create work orders for vehicle service requested by departments and create a schedule to be supplied to the mechanics.
  • Prepare and review monthly service chargebacks for accuracy and completeness for each department within the Parish.
  • Prepare and mail monthly waste tire report.
  • Assist in yearly asset observations.
  • Proficient in Microsoft Office products, Word, Excel, Outlook.
  • Required to work during emergency situations and additional hours when directed by Supervisor.
  • As assigned, attend meetings, briefings, training sessions, and seminars.
  • Regular, consistent attendance is required
  • Any other duties as assigned – including duties of a Support Service 1.



Competencies: Employee must be able to operate basic office equipment, office computer and proficient in Microsoft Office products, Word, Excel, Outlook and any other specialty equipment needed for the position. Employee must have strong verbal and written communication skills and organizational skills. Must be able to communicate clearly with staff and public and provide clear, concise, and accurate information, excellent organizational and time management skills.

Work Environment: The incumbent works in a typical office environment with little or no exposure to unpleasant environmental conditions or hazards. Primary functions are limited to an office environment. Occasional duties may require travel or working in non-office environment.

Physical Demands: Sedentary work. Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally and other sedentary criteria are met.

Required Education/Qualifications: High School diploma or equivalent GED and three years of experience in a position with significant administrative responsibilities. A valid Driver’s License is required
