Surgery Scheduler/Patient Care Assistant

Job Overview

We are seeking a dynamic and compassionate Cardiovascular Surgery Scheduler/ Patient Care Assistant to join our healthcare team. In this vital role, you will be responsible for coordinating cardiovascular procedures, manage patient communication, securing insurance authorizations, supporting billing functions, and assisting clinical staff with patient care activities. This multifaceted role ensures seamless scheduling, regulatory compliance, optimal reimbursement, and a positive patient experience in a fast-paced cardiovascular surgery center. Duties

  • Schedule surgical procedures and follow-up appointments using EMR (Electronic Medical Records), ensuring accuracy and timeliness.
  • Verify insurance coverage, perform insurance verification, and handle preauthorization processes for procedures, including Medicare and other insurance plans.
  • Review and update patient medical records, ensuring compliance with HIPAA regulations and maintaining confidentiality at all times.
  • Communicate effectively with patients via phone and in person, providing clear instructions, appointment reminders, and answering inquiries with professionalism and empathy.
  • Assist with patient intake processes, including gathering medical histories, updating care plans, and explaining procedural details to ensure patients are well-informed.
  • Support medical staff by preparing documentation review reports, CPT (Current Procedural Terminology) coding, ICD-9/10 coding for diagnoses, and ensuring accurate medical billing.
  • Manage front desk operations such as multi-line phone systems, scheduling appointments efficiently.
  • Perform clerical duties including filing, faxing, scanning documents, and maintaining a tidy office environment.
  • Uphold excellent phone etiquette while handling inquiries related to medical office management and insurance verification processes.
  • Collaborate with healthcare providers to develop comprehensive care plans tailored to each patient's needs while ensuring documentation accuracy for legal compliance.

Skills

  • Extensive experience with EMR systems such as Medent and StreamlineMD is a plus.
  • Strong knowledge of medical terminology, ICD-9/10 coding standards, CPT coding, and medical billing procedures.
  • Excellent organizational skills with the ability to manage multiple schedules simultaneously in a fast-paced environment.
  • Exceptional patient service skills combined with effective phone etiquette and clear communication abilities.
  • Prior clinic office experience is required.
  • Knowledge of HIPAA regulations to ensure confidentiality of protected health information at all times.
  • Experience in medical administrative support roles such as front desk reception or office management will be highly valued. Qualifications

  • High school diploma or equivalent required; medical assistant certification preferred
  • 2–3 years of experience in cardiology or cardiovascular procedural setting preferred
  • Experience with insurance verification and prior authorizations required
  • Working knowledge of CPT, ICD-10, and cardiovascular billing processes
  • Basic clinical skills including vital signs and EKG performance
  • BLS certification required
  • Strong organizational, communication, and multitasking abilities
  • Ability to work effectively in a fast-paced, team-oriented environment

Work Environment

  • Fast-paced cardiovascular clinic and outpatient surgery center
  • Combination of administrative and direct patient care responsibilities
  • Frequent interaction with cardiologists, nurses, device representatives, insurance carriers, and patients

Physical Requirements

  • The employee is regularly required to sit and/or stand for extended periods of time; walk; and stoop, kneel, and talk and hear.
  • The employee must occasionally lift and/or move up to 40 pounds. Must possess the degree of total body strength necessary to assist patients with transfers and mobility; occasionally may need to push/pull >200 lbs when transporting patients in wheelchairs.
  • Must be able to stretch, reach and retrieve equipment and supplies.
  • Visual acuity, color vision, hearing acuity are necessary.

Pay: From $22.00 per hour

Expected hours: 40.0 per week
