Position Summary:

This role will oversee the administration, maintenance, and modernization of Guardian Security’s enterprise systems - primarily Microsoft Dynamics 365 and a legacy platform scheduled for decommissioning.
The Systems Administrator will serve as the post-production liaison and system lead, coordinating enhancements, tracking and resolving bugs, and managing solution releases in partnership with IT and business teams.
Additionally, this position will assist with the ongoing migration from the legacy system to Dynamics 365, helping gather business requirements, support data conversion, and ensure functional alignment between departments.

This position requires strong technical expertise, problem-solving skills, and the ability to bridge operations and IT functions to ensure smooth performance and continuous improvement.

Schedule: M-F, 7:30 – 4:30 PST

Work Setting: Onsite/Hybrid/Remote

Pay: $85,000 - $100,000 annually

About the Position:

The Systems Administrator will oversee the administration and modernization of Guardian Security’s enterprise platforms, primarily Microsoft Dynamics 365 and a legacy system slated for decommissioning. This role serves as the post-production system lead, managing enhancements, bug resolution, and solution releases in collaboration with IT and business teams. Key responsibilities include supporting the migration to Dynamics 365, maintaining system performance and data integrity, configuring workflows and reports, and providing user training and documentation. The ideal candidate will bring strong technical expertise and problem-solving skills to bridge operations and IT, ensuring smooth system performance and continuous improvement.

System Administration & Migration (45%)
  • Administer and maintain Dynamics 365 environments, ensuring data accuracy, security, and performance.
  • Manage the legacy system and assist with decommissioning, assisting with data integration and migration planning, testing, and validation.
  • Assist with the continued transition off the legacy platform by gathering business requirements, defining process improvements, and supporting integration with new Dynamics modules.
  • Serve as the post-production liaison between IT, business users, and vendors to track enhancement requests, coordinate bug fixes, and manage the testing and deployment of updates.
  • Configure workflows, forms, dashboards, and reports within Dynamics 365 to support operational requirements.
  • Collaborate with third-party vendors and internal IT on system upgrades, integrations, and troubleshooting.
Optimization & Support (25%)
  • Identify and implement automation opportunities to improve data flow and operational efficiency.
  • Provide tier-2/3 support for system users and coordinate issue escalation with Microsoft partner or legacy software support teams.
  • Monitor system performance and proactively address bottlenecks or recurring errors.
Training & Documentation (20%)
  • Create and maintain technical documentation for configurations, integrations, and migration steps.
  • Train users, supervisors, and department heads on Dynamics 365 functionality and new workflows.
  • Support change management by gathering feedback and adapting configurations to operational needs.
Cross-Department Collaboration (10%)
  • Partner with Finance, Sales, Operations, and Dispatch teams to ensure alignment between business needs and system design.
  • Assist IT leadership in evaluating new technologies that enhance productivity and security.

Education and/or Experience:

  • Bachelor’s degree or equivalent experience in Computer Science, Information Systems, or related field.
  • 3–5 years of experience in systems administration or Dynamics 365 management.
  • Experience with data migration, API integrations, and legacy system decommissioning.
  • Familiarity with SQL, Power Automate, and Microsoft Azure preferred.

Computer Skills:

  • Microsoft Dynamics 365, Power Platform, MS Office Suite, SQL, Azure tools.
  • Familiarity with legacy database management systems.

Physical Demands:

  • Sedentary role with occasional equipment setup and system testing.
  • Typical office and dispatch center environment; occasional travel to project sites.

Work Environment:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
• Primarily sedentary work with occasional lifting up to 25 lbs.
  • Standard office environment; may require occasional travel to branches for system rollout support.
