Responsibilities
- Greet visitors and clients at the front desk with a welcoming attitude, managing multi-line phone systems efficiently.
- Handle data entry, filing, and document proofreading to keep office records accurate and up-to-date.
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office.
- Assist with office management tasks such as supply inventory, basic bookkeeping, and maintaining a clean workspace.
- Provide excellent customer service by responding to inquiries via phone or email promptly and professionally.
- Support administrative functions including typing reports, organizing files, and supporting team members with clerical duties.
- Use computer skills to navigate various software platforms, ensuring smooth office operations and effective communication.
Qualifications
- Previous experience in office management, clerical work, or customer service is preferred but not required.
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry tools.
- Excellent phone etiquette and communication skills in both English and bilingual capabilities are a plus.
- Knowledge of QuickBooks or bookkeeping experience is beneficial for handling basic financial tasks.
- Demonstrated organizational skills with the ability to multitask efficiently in a busy environment.
- Experience working as a receptionist or personal assistant, especially in medical or dental settings, is advantageous.
