We are seeking a detail-oriented and commercially aware Technical Bidding Coordinator to manage and support the end-to-end RFP and tender process. The ideal candidate will have hands-on experience reviewing technical RFP documents, coordinating cross-functional inputs, ensuring compliance, and supporting competitive bid submissions.
This role requires strong analytical skills, technical understanding, and the ability to manage multiple deadlines in a fast-paced environment.
Key Responsibilities1. RFP Review & Analysis
- Review incoming RFPs, RFQs, and tender documents to identify scope, technical requirements, deliverables, and compliance criteria.
- Break down complex RFP documentation into structured response frameworks.
- Highlight risks, gaps, inconsistencies, and clarification points.
- Support bid/no-bid analysis with management.
2. Bid Coordination & Documentation
- Develop and manage bid timelines and submission schedules.
- Coordinate inputs from technical, production, operations, finance, and procurement teams.
- Ensure all required documentation (technical proposals, compliance forms, certifications, HSE documents, etc.) is complete and aligned.
- Maintain version control and document integrity throughout the bid process.
3. Technical Proposal Development
- Assist in drafting and formatting technical responses.
- Ensure proposed solutions meet technical specifications and client requirements.
- Work closely with engineering/production teams to validate feasibility.
- Support preparation of method statements and technical execution plans.
4. Commercial & Compliance Support
- Collaborate with finance teams on cost breakdowns and pricing schedules.
- Ensure full compliance with mandatory tender requirements.
- Prepare submission checklists to avoid disqualification risks.
- Support contract review in coordination with legal/commercial teams.
5. Submission & Post-Bid Activities
- Manage final bid compilation and on-time submission.
- Support presentation preparation when required.
- Participate in post-bid reviews and lessons-learned sessions.
- Maintain a database of submitted bids and outcomes.
Qualifications & Experience
- Bachelor’s degree in Engineering, Business, Project Management, or related field.
- 3–6 years of experience in bid coordination, tender management, or technical proposal support.
- Proven experience reviewing and responding to RFPs in a technical or project-based environment.
- Experience in corporate events, production, construction, engineering, or technical services is preferred.
- Strong understanding of technical documentation and compliance requirements.
