Tenant Relations Manager

*Requirement: Fair Housing Compliance

Job Summary

The purpose of this position is to: a) be the primary contact and liaison between the tenants and the company, b) maintain, retain, and update tenant concerns, c) ensure that all properties are well maintained and contact tenant for completion of such, d) work directly with vendors for work orders and invoices, e) facilitate move-outs and move-ins with Owner Relations Manager, f) provide move-in instructions for tenants.

Owner Relations

  • Daily communication with Owner Relations Manager regarding any new and upcoming vacant properties.
  • Document in detail all conversations with tenants and vendors.

Tenant Management

  • Complete work orders to include follow-up for satisfaction or further attention required.
  • Prepare and send out notices for unpaid rent or violations (lease, HOA, etc).
  • Serve notices and tenant lease violations.

Accounting

  • Approve monthly owner’s statements in conjunction with Owner Relations Manager to ensure all credits and debits are accounted for and documented properly, including but not limited to vendor bills and any other charges and credits on the statements.
  • Ensure tenants are being charged any required fees per Handbook and Lease Agreement.
  • Monitor and implement collections process of delinquent owner and tenant accounts.
  • Work with Owner Relations Manager on reporting, training, software, workflow management and invoicing.
  • Account for all credit card expenses by submitting credit card receipts daily.

Data Entry

  • Ensure lockbox, door, gate, etc, codes are properly inputted into Propertyware and ShowMojo.

Maintenance

  • Approve all completed work orders for payment. Update work orders as instructed by accounting.
  • Acquire pre-approval for all work orders requiring major repairs over $300 or as stipulated by PMA with Owner Relations Manager.
  • Schedule and coordinate property turnover work orders.
  • Report any turnover work considered to be an owner’s charge to Owner Relations Manager.

Team Support

  • Support growth and help nurture skill sets of employees new to our team pod in the tenant relations Manager role.
  • Maintain transparent communication within the pod, collaborate closely on tasks requiring joint effort and share knowledge on evolving tools and/or processes.

Inspections

  • Work directly with Owner Relations Manager to complete routine inspections twice a year.
  • Perform move-out inspections.

On‐Call

  • Be available to take after hours’ emergency calls as dispatched.

The above descriptions will be performed daily, weekly, or monthly as needed

Job Type: Full-time

Pay: $45,000.00 - $50,000.00 per year
