Ottawa University (established in 1865), one of the oldest private liberal arts universities in the United States, is a multi-campus system serving approximately 4000 students through its campuses in Kansas (Ottawa, Kansas- Residential Campus and Overland Park, Kansas- Adult Programs); Arizona (Surprise Residential Campus and OUAZ Adult Programs); Wisconsin (Brookfield Adult Programs); and our OU ONLINE PROGRAM based out of Overland Park, Kansas.

JOB SUMMARY

Under the direction of the University Registrar, responsible for an overall analysis/review of academic records post software conversion to assure integrity and accuracy of records in current system. Position is anticipated at 30 hours a week for up to 3 months.

ESSENTIAL FUNCTIONS OF THE JOB (provide list of items which are essential to effective outcomes in this role):

  • Perform assigned departmental operations which may include but is not limited to: transcript request processing, transcript review, transcription of transfer credits, and indexing of documents into student files.
  • Provide support to the university departments as needed.
  • Understand and appropriately apply degree requirements, compliance standards, and related University academic policies.
  • Advise Registrar or designee regarding discrepancies and potential gaps within academic records information.
  • Preserve the integrity of student information and bring potential irregularities to the attention of the University Registrar.
  • Assure the accuracy of active and archived student academic records.
  • Interface with others via telephone, computer and in person. Maintain effective working relationships and understand the job responsibilities and obligations of those with whom you work.
  • Support the work of other staff members and create a sense of “team” within the Unit.
  • Other duties as assigned

REQUIRED EDUCATION: (education based on essential job duties and requirements consistent with business necessity):
Bachelor’s Degree highly preferred.

REQUIRED EXPERIENCE: (experience based on requirements in role and are consistent with business necessity)
2-4 years or more of related administrative/analysis experience. Additional experience may substitute for a degree.

  • Excellent verbal and written communication skills.
  • Work independently, with limited supervision; work cooperatively, providing leadership to others.
  • A high level of attention to detail, accuracy, and consistency is essential.
  • Office, spreadsheet and database management computer experience.
  • Requires ability and aptitude for analysis and interpretation of information, procedures, policies and practices attainable through self-directed research and review.
