Administrative Support
· Handle incoming phone calls, emails, and other communications; direct them to relevant departments or individuals.
· Prepare and maintain both digital and physical files such as contracts, order forms, invoices, purchase orders, and client records.
· Provide general administrative support to multiple departments, including marketing and accounts.
Logistics & Transport Coordination
· Plan and schedule transport routes and delivery timelines to ensure timely dispatches and pickups.
· Coordinate with drivers and logistics providers for vehicle allocation and load planning.
· Track shipments and update customers and internal teams on delivery statuses.
· Maintain documentation such as trip logs, gate passes, fuel slips, and delivery notes.
Fleet & Vehicle Management
· Monitor fuel usage, maintenance schedules, and ensure vehicles comply with legal and safety standards (permits, fitness certificates, insurance).
· Keep accurate records of transport-related expenses for cost control and billing.
Vendor & Driver Coordination
· Liaise with third-party logistics vendors and in-house drivers to resolve issues such as delays, accidents, or route changes.
· Ensure timely submission and accuracy of delivery and transport documentation.
Procurement & Purchase Assistance
· Assist in sourcing suppliers and collecting quotations based on internal requisitions.
· Prepare, issue, and track Purchase Orders (POs); follow up with suppliers for order confirmations and delivery timelines.
· Maintain and update the supplier database; assist in evaluating supplier performance.
· Coordinate with warehouse/stores to monitor stock levels and initiate purchase requests as needed
· Resolve any discrepancies or delays related to supplier deliveries.
