MARC, Inc. is a nonprofit organization dedicated to supporting adults with developmental disabilities through structured programs, vocational training, and community integration. Our transportation program is a critical part of ensuring safe, reliable access to services across the Florida Keys.
Position Overview
We are seeking a highly organized and detail-oriented Transportation Coordinator to oversee all aspects of our transportation operations. This role is responsible for ensuring safe, efficient, and fully compliant transportation services in accordance with FDOT standards.
This is a hands-on leadership role that requires strong organizational skills, accountability, and the ability to manage both people and systems.
Key Responsibilities
Transportation Operations
- Manage daily transportation schedules and driver assignments
- Oversee transportation services in Key West and Tavernier locations
- Ensure consistent, safe, and reliable client transport
Compliance & Documentation
- Maintain full compliance with FDOT regulations and agency policies
- Oversee all transportation documentation, including pre/post-trip inspections and client logs
- Submit transportation documentation for billing by the 3rd of each month
- Upload required data into Trancip / Trancip 2.0 by the 10th of each month
Fleet & Safety Management
- Ensure all vehicles are clean, safe, and fully operational
- Maintain up-to-date documentation in all vehicles (insurance, registration, permits, etc.)
- Track and complete preventative maintenance and required inspections
- Coordinate annual inspections, including fire suppression systems and fleet compliance
Driver Supervision & Training
- Schedule, supervise, and support transportation staff
- Ensure all drivers maintain required licenses, certifications, and trainings
- Provide coaching, accountability, and performance oversight
Incident Management
- Respond to and document all transportation incidents and accidents
- Complete required reports, including insurance and FDOT documentation
- Coordinate with insurance providers and external agencies as needed
Grants & Administrative Support
- Assist with annual transportation grant preparation and submission
- Work with Finance to ensure accurate and timely documentation
What We’re Looking For
- Strong organizational and time management skills
- Ability to manage deadlines, compliance requirements, and detailed documentation
- Leadership experience in scheduling and supervising staff
- Experience in transportation, logistics, or operations management preferred
- Familiarity with FDOT regulations or similar compliance environments is a plus
- Valid driver’s license required

Work Environment
This position requires both office-based administrative work and active involvement in transportation operations, including time in vehicles and at program sites.
Qualifications/Requirements
- Experience in transportation management, logistics, or operations preferred
- Strong knowledge of compliance, documentation, and regulatory standards (FDOT experience preferred)
- Excellent organizational and administrative skills with high attention to detail
- Leadership experience in staff supervision and scheduling
- Valid Florida Driver’s License w/clean driving history
- Pre-employment training
- Successful criminal background screenings including but not limited to Monroe County Sheriff’s Office and Level II fingerprinting through the Agency for Health Care Administration (AHCA) Clearinghouse.
- Three-year driving history background check
