About the Role
We are seeking a highly organized, detail-oriented Travel Operations Coordinator to support travel planning, client communications, booking administration, and operational coordination.
This role is ideal for someone who enjoys structured work, solving logistical puzzles, and helping clients through detailed travel coordination. Success in this position requires strong written communication, excellent follow-through, comfort with technology, and the ability to independently manage details and priorities.
We are looking for someone seeking a stable, long-term part-time opportunity and who values consistency, professionalism, and flexibility in a remote work environment.
Key Responsibilities
- Create and manage individual travel reservations, including:
- Hotels
- Air travel
- Train travel
- Car rentals
- Ground transportation and Uber vouchers
- Accurately record reservation costs and details within invoicing system
- Communicate travel itineraries and reservation details to end users
- Respond to client questions and manage reservation changes professionally and efficiently
- Create and maintain opportunity records in Salesforce CRM throughout the booking cycle
- Prepare RFPs using an online system based on customer-provided information and meeting notes
- Create and update spreadsheets in Excel 365 or Google Sheets
- Professionally manage and respond to customer emails
- Maintain organized records and ensure accuracy across multiple systems

Required Qualifications
- Strong written and verbal communication skills

- Strong organizational and time management skills
- Comfortable learning and using multiple software systems
- Ability to work independently and make sound minor judgment calls
- Reliable internet connection and dedicated home workspace
Preferred Experience
- Travel coordination, travel booking, hospitality, administrative support, executive assistant, or operations experience
- Experience with Salesforce, QuickBooks, Excel 365, or similar business systems
- Experience managing logistics, schedules, reservations, or detailed coordination work
