Unclaimed Property Case Management Assistant

Job Summary

We are a law firm focused on the evolution of our firm, our clients, and our employees. We believe that rising tides lift all boats. At Evolution Law Group, P.A., we help individuals recover money that rightfully belongs to them through the State of Florida’s unclaimed property system.

We are hiring a Unclaimed Property Case Management Assistant to take ownership of a high-volume client intake and processing pipeline (internally known as our “Pink Envelope Department”).

This is a critical, client-facing role where you will be the first point of contact for individuals who have received outreach from our firm regarding potential unclaimed funds.

Many clients are unfamiliar with this process and may initially be skeptical. Your role is to confidently communicate with them, explain our services, and guide them toward moving forward with our firm. This position required very strong communication skills.

This position requires you to manage the case through completion, including document handling, claim filing, and ongoing follow-up with the State.

Responsibilities

  • Serve as the first point of contact for inbound client inquiries (phone, text, email)
  • Clearly and confidently explain our services and process
  • Build trust with clients by addressing skepticism, answering questions thoroughly, and providing reassurance throughout the process
  • Demonstrate patience and professionalism when working with hesitant or uncertain individuals
  • Guide clients through required documentation and next steps
  • Review and organize incoming documents for accuracy and completeness
  • Prepare and file unclaimed property claims with the State of Florida
  • Monitor claim status and handle all follow-ups with the State, including requests for additional information, approvals, or denials
  • Maintain accurate records in internal systems and track case progress and ensure timely completion(Clio, Monday.com)

Qualifications/Skills

  • Prior sales or client conversion experience is REQUIRED
  • Exceptional communication skills (verbal and written) are REQUIRED
  • High level of patience and emotional intelligence — must be able to work with hesitant or skeptical individuals calmly and professionally
  • Confident and professional on the phone
  • Highly organized with strong attention to detail and ability to manage multiple cases simultaneously
  • Strong follow-up skills and persistence — ability to keep cases moving forward
  • Excellent organizational skills with a keen eye for detail; ability to handle sensitive information confidentially.
  • Bilingual (English/Spanish)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with Clio and Monday.com is a plus

Pay: $18.00 - $25.00 per hour
