Unit Project Manager

JOB PURPOSE :Responsible for leading and managing the unit PM/PLs in the successful execution of Unit’s Projects according to the Projects Vision and Goals.

KEY ACCOUNTABILITIES

Contract Management:

  • Ensures the effective implementation of the procedure by the unit PM/PLs and the bellow tasks are effectively implemented by them.
  • Assure effective Contract Review, Contract Summary update and transfer of ownership from Proposals to Projects
  • Reviews & challenges Internal Reports, Contract Summary Updates, Project KPIs report & Project Critique.
  • Ensures the project’s ‘Letter of Good Performance’ is obtained and Client Satisfaction questionnaire is filled in.
  • Ensures all Client’s claims for the projects of the unit are closed most cost effectively.
  • Ensures Project risks are effectively identified and mitigated.

Order to Project Close Out:

  • Ensures the implementation of the Projects Process by the Unit PM
  • Ensures the availability of resources for the execution of Projects according to all the Procedures.

Issues (Risks, Claims, Complaints, NCRs, Lessons Learnt) & Improvement:

  • Leading the implementation of “Issues & Improvement procedure” in their unit. Identifying and managing issues.
  • Reviewing the validity of issues identified and involving the PQM as appropriate.
  • Continuously Improving unit department performance.
  • Contributing to the Root Cause Analysis and planning of project related improvement actions.
  • Participates and represents the unit department during audits.

Project Planning and Control:

  • Ensures the implementation of Project Planning and Control made by the unit PM/PLs also including LN updates.
  • Gives priorities to Planning dpt. when excess of capacity.
  • Reviews and resolves / mitigate issues in commitments with the PM

Reporting:

  • Reports to the Geo market and Functional management.
  • Escalates issues to the Geo market and Functional management.
  • Submits Biweekly/Monthly Internal Reports to RPRJ, PQM and GMPRJ.

Communication management:

  • Ensures the effective implementation of the ‘Interfaces Management Procedure’ by the unit PM

Interfaces management: Ensures the effective implementation of the procedure by the unit PM

  • Ensures the application of Emails Distribution & Escalation Policy

Minutes of Meetings, Visit Reports & Correspondence:

  • Ensures the implementation of the ‘Minutes of Meetings, Visit Reports & Correspondence procedure’ by the unit PM

Variations & Quotations:

  • Ensures the implementation of the ‘Variations & Quotations procedure’ by the unit PM
  • Approves the Variations according to the ‘Approval Authority Matrix’.

Projects Records Management:

  • Ensures the implementation of the ‘Projects Records Management procedure’ by the unit PM
  • Projects Records Management: He / She is responsible for assuring the availability of resources to the execution of this procedure.
  • He / She is responsible for auditing the proper execution of this procedure.

Projects Document Control:

  • Ensures the effective implementation of the procedure by the unit PM

Invoicing and Bonds IssueEnsures the effective implementation of the procedure by the unit PM

Dashboard:

  • Responsible for Units PM/PLs activities regarding data maintenance and/or verification in the System.
  • Controlling department performance through KPIs including Revenue, Gross Profit, Committed Stock, Backlog, On time Performance, Project Status Control,
  • Reports on the basis of Dashboard.

Project Close Out:

  • Ensures the effective implementation of the procedure by the unit PM

Appraisals, Recruits and people management:

  • Evaluation of Unit PM/PLs capacity versus Backlog, Budget, and Forecast.
  • ATR initiation and expediting.
  • Candidates interviews and selection for recruitment.
  • PMDP appraisals and next year objectives setting.
  • Unit PM training.
  • Unit PM vacation planning.

Project Management assignmentsAssigns Project managers and leaders to projects.

  • Him/herself can manage projects
  • Representation: Department representative to auditors, Clients and Third Parties

HSE

  • Participate in QHSE audits, incident reporting and review of QHSE performances as required
  • Comply with relevant safety, quality and environmental control procedures and instructions
  • Use personal protective equipment and safety gear when performing assigned tasks
  • Report on unsafe acts, incidents or safety violations

SPAN OF COMMUNICATION Internal: According to the matrix Organization. External: Clients, Suppliers, Subcontractors, Third Parties

Skills Description

Minimum Qualifications:

  • Preferably Engineering degree in Mechanical, Civil, or Industrial
  • Preferably PMP Certification
  • Preferably MBA, BSc or MSc in Managerial Economics or similar

Minimum Experience:

  • 3+ years as PM within FPI
  • PMs from outside will be considered with exceptional CVs with 10+ years of experience
  • Experience in team management.
  • Preferably experience in: piping, mechanical, supply chain, company’s products, and processes.
  • Knowledge of Contractual terms and conditions.

Job-Specific Skills:

  • Fluent English, in both writing and speaking.
  • Preferably Fluent in the local language, in both writing and speaking.
  • MS Office, and preferably MS Project.
  • Good interpersonal & communication skills.
  • Leadership and team play facilitation.
