POSITION – PURCHASE AND STORE MANAGER

NON-PROFIT ORGANIZATION WORKING SINCE 2001.

LOCATION  KOLKATA

 CURRENT : AMGACHIA, NEPALGUNGE ROAD, PAILAN,

JOKA, KOLKATA – 700139

POSITION -FULL TIME, PERMANENT

EDUCATION - DEGREE IN BUSINESS, SUPPLY CHAIN, OR RELATED FIELD PREFERRED

EXPERIENCE - 8–12 YEARS IN PROCUREMENT, STORE MANAGEMENT, OR SUPPLY CHAIN

BUDGET AS PER INDUSTRY STANDARDS.

Role Overview

The Head – Purchase & Procurement will oversee all procurement, store management, and logistics functions to ensure smooth operations across academic, residential, and non-residential requirements. This role demands strong vendor management, ERP proficiency, and a commitment to transparency and efficiency in material and resource handling.

Key Responsibilities

Purchase & Procurement

 Manage procurement of academic and non-academic items, residential and non-residential requirements.

 Lead vendor selection, rate negotiation, and finalization.

 Coordinate with suppliers to ensure timely delivery and quality compliance.

 Oversee Purchase Orders and Work Orders, ensuring accuracy and adherence to organizational policies.

Store Management

 Maintain both physical registers and ERP systems for inventory tracking.

 Raise indents, receive and issue items as per requirements.

 Ensure minimum stock levels of 15 days across categories.

 Update all materials in ERP system regularly.

 Handle return of damaged materials by generating challans through ERP.

General Store Oversight

 Supervise inventory of uniforms, toiletries, stationery, MEP materials, housekeeping supplies, medicines, linen, and miscellaneous items.

 Ensure proper categorization and availability of essential materials.

Registers & Documentation

 Maintain return register for damaged items and coordinate vendor actions.

 Oversee stock maintenance registers for stationery, toiletries, linen, and electrical/plumbing stores.

Mobile Connection Management

 Prepare, issue, and maintain authorization lists for SIM cards.

 Ensure compliance with organizational policies for mobile usage.

Transportation Management

 Coordinate material movement across sites.

 Manage staff transportation as per management directives.

Qualifications

 Experience: 8–12 years in procurement, store management, or supply chain.

 ERP Skills: Strong proficiency in ERP systems for inventory and procurement.

 Vendor Management: Proven ability to negotiate, finalize, and manage vendor relationships.

 Soft Skills: Excellent organizational, communication, and negotiation skills.

 Educational Background: Degree in Business, Supply Chain, or related field preferred.

 Sector Experience: Prior experience in institutional or NGO procurement will be an advantage.

Preferred Skills

 Knowledge of institutional procurement processes.

 Experience in managing complex inventories and registers.

 Familiarity with compliance protocols for procurement and store management.

 Ability to streamline processes and ensure transparency in operations.
