About the Position

We’re looking for an Inventory and Scheduling Specialist to help keep our hospital operating at its best. This role is critical in maintaining accurate inventory of medical, pharmacy, dietary, and office supplies, managing schedules for doctors, specialists, referral coordinators, and medical support staff, and supporting hospital leadership with administrative tasks. You’ll play a key role in ensuring that our teams have what they need to provide excellent patient care and a seamless experience for clients and colleagues alike.

This position requires strong organizational skills, excellent communication, and the ability to stay calm and professional in a fast-paced, high-functioning environment.

Key Responsibilities

Inventory Management

  • Maintain accurate inventory levels for medical, pharmacy, dietary, and office supplies
  • Place and track orders with vendors including MWI Animal Health, Covetrus, Royal Canin, Hill’s Veterinary Diets, and other specialty suppliers
  • Build and maintain positive relationships with vendors, resolving discrepancies as needed
  • Monitor high-cost, specialty, and controlled items in compliance with hospital policies
  • Assist with inventory audits, reporting, and process improvements

Scheduling Management

  • Build and maintain schedules for doctors, specialists, referral coordinators, interns, residents, and medical support staff
  • Manage schedule changes, call-outs, shift swaps, and coverage gaps with discretion and professionalism
  • Collaborate with department leads to align staffing with patient flow and hospital needs
  • Maintain accurate scheduling records and assist with long-term planning

Administrative Support

  • Support hospital leadership with reporting, document preparation, and special projects
  • Assist with general office operations, including ordering supplies and maintaining shared spaces
  • Serve as a resource for staff regarding inventory and scheduling processes

What We’re Looking For

  • 1+ year of experience managing inventory and/or scheduling in a veterinary or medical setting
  • Experience in specialty and emergency veterinary hospitals or large healthcare environments preferred
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Comfortable in a fast-paced, professional environment
  • Proficiency in practice management software, scheduling platforms, and Microsoft Office
  • High school diploma or equivalent (required)

Pay: $24.00 - $28.00 per hour
