Veterinary Receptionist

Join our dynamic veterinary team at our small home town style clinic where we treat dogs, cats, rabbits, other small mammals as well as birds, reptiles as a Veterinary Receptionist, where your energetic and positive attitude will be the first point of contact for pet owners and their beloved animals. In this vital role, you will facilitate smooth clinic operations by managing appointments, handling client communications, and supporting the veterinary staff with essential administrative tasks. Responsibilities

  • Greet clients warmly and professionally, ensuring a positive first impression for pet owners and their animals-ability to learn names of our return clients and their pets and relate to them in a personal, warm, friendly manner-this is our clinic culture..we treat our clients as family and friends and their pets as our own
  • Schedule appointments efficiently and accurately according to time involved, species requirements, etc while accommodating urgent cases and being attuned to client preferences
  • Manage medical and retail billing, and payment collections with accuracy
  • Process and review for accuracy end of day reports on Cornerstone
  • Help clients with third party payment plans such as Care Credit
  • Assist veterinary staff with animal handling, restraint, and basic animal husbandry tasks as needed
  • Maintain detailed records of patient histories, treatments, and laboratory results in compliance with confidentiality standards-monitoring emails and retrieving records from other clinics and attaching to the animals files-making sure all conversations via email/text or phone are recorded immediately in animal's records-including overseeing that other staff have recorded communications
  • Communicate effectively with clients regarding pet care instructions, follow-up appointments, and medication protocols
  • Assist owner in basic practice management tasks such as quality control-this may include, but not limited o weekly review of upcoming appointments to make sure correct information has been obtained for new pets or clients/medical concerns for upcoming appointments have been noted in file to be addressed at time of appointment, authorization forms and information forms and estimates have been emailed for upcoming procedures and surgeries, and are ready on clipboards 2 weeks in advance for upcoming procedures--assist in clinic. management paperwork such as mailing out payments for distributors, calling about accounts due with distributors, etc. Assisting with managing staff schedules using "Sling"Skills

Familiarity or ability to quickly learn Cornerstone veterinary software essential to scheduling/corresponding with clients and maintaining client records

Familiarity or ability to quickly learn our phone/text/email system "Weave"

Familiarity or ability to quickly learn how to help clients apply for and process payments with third party payments such as Care Credit-

  • Strong knowledge of veterinary terminology, basic wellness and preventative care for dogs and cats (such as recommended timing of wellness exams, annual screening bloodwork and vaccine recommendations -knowledge of what the vaccinations protect against and how these diseases are spread, knowledge of common intestinal and blood borne parasites in dogs and cats)
  • Familiarity with restraint of dogs and cats for blood draws and other procedures-knowledge of grooming skills such as nail trimming
  • Ability to handle animals confidently using proper restraint methods; experience with dog and cat handling is highly valued-experience with restraint of rabbits/guinea pigs and birds is a bonus!
  • Excellent communication skills to convey complex information clearly and compassionately to pet owners and team members.
  • Ability to prioritize and handle multiple incoming calls/conversations or tasks while maintaining a positive and friendly attitude

Pay: $18.00 - $23.00 per hour
