Virtual Administrative Assistant (Entry Level)

This fully remote role supports our day-to-day business operations across the EU and MENA regions and is ideal for individuals who thrive in structured environments, follow established processes, and manage detailed tasks with consistency. You will play a key role in maintaining accurate data, updating operational trackers, and ensuring administrative workflows are completed efficiently and on time, helping keep operations organized and running smoothly behind the scenes.

You will support the team by reviewing and maintaining datasets, tracking tasks from start to completion, organizing documentation, and ensuring all activities are properly recorded. No prior experience is required—what matters most is your ability to follow instructions carefully, perform repetitive tasks with precision, and communicate clearly. Core Daily Duties:

Data Entry, Updates, and Record Maintenance:

  • Review spreadsheets and internal systems daily, updating records based on new inputs, corrections, or team guidance.
  • Apply consistent formatting across all entries, including names, contact details, geographic data, company information, and internal notes.
  • Identify duplicate records, consolidate overlapping entries, and correct clear data errors (such as incorrect locations or formatting inconsistencies).
  • Ensure all required fields are completed accurately and escalate missing or unclear information.
  • Maintain reliable datasets so operations, planning, and customer-facing teams can access accurate information quickly.
  • Preserve structured data formats to support reporting, filtering, and analysis.

Email Management and Workflow Support:

  • Organize incoming requests by categorizing, labeling, and prioritizing tasks (administrative actions, follow-ups, approvals, documentation needs, urgent items).
  • Route tasks to appropriate team members and log them in tracking systems to ensure nothing is missed.
  • Monitor task progress through completion by reviewing statuses, updating notes, and confirming final steps are completed.
  • Send reminders for pending items, missing documents, or overdue actions.
  • Maintain clear, professional communication to support efficient resolution of requests.

Tracking, Reporting, and Daily Summaries:

  • Maintain daily trackers covering new entries, updates, completed tasks, pending items, and required follow-ups.
  • Provide concise end-of-day summaries outlining completed work and upcoming priorities.
  • Identify and escalate blockers such as missing data, unclear instructions, or pending approvals
  • Recognize recurring issues (missing fields, formatting inconsistencies, repeated errors) and contribute to process improvements.
  • Ensure trackers remain accurate, organized, and consistently updated to support visibility and accountability.

Scheduling and Coordination Support (As Needed):

  • Provide basic scheduling assistance by confirming availability, coordinating time slots, and updating calendars when required.
  • Send confirmations and reminders to ensure tasks and meetings are completed on time.
  • Track completion of onboarding steps, training activities, and internal processes.
  • Maintain clear documentation of scheduling updates for transparency and tracking.

Quality Assurance and Documentation Standards:

  • Review records before submission or handoff to ensure accuracy and completeness.
  • Follow established naming conventions for files, folders, and trackers to maintain organization.
  • Maintain structured file systems and up-to-date documentation for easy access.
  • Ensure records remain consistent and standardized to support efficient operations.

Essential Qualifiers:

  • Proficiency with Google Sheets or Microsoft Excel (data entry, formatting, organization).
  • Strong attention to detail and ability to follow SOPs and structured workflows.
  • Clear written communication skills with a professional tone.
  • Reliable internet connection and ability to work independently in a remote setting.
