Looking for Virtual Assistant (Shopify Brand Operations)
Model: Dropshipping (5 Stores)
Overview:
We are hiring a Mid-Level Shopify Virtual Assistant to manage daily operations across multiple Shopify stores. The ideal candidate has hands-on experience with Shopify backend, product listing updates, order fulfillment, and customer service. This is a detail-oriented operational role requiring strong communication, proactive follow-ups, and the ability to stay on top of chargebacks, delivery proof, and customer queries. Training, SOPs, and tools will be provided. We use multiple software solutions and AI tools to streamline workflows.
Key Responsibilities:
- Store & Product ManagementManage 5 Shopify stores (1 store with ~2,000 SKUs; others with 200–500 SKUs each).
- Edit and update product listings as needed (pricing, descriptions, variants, images).
- Use AI for listing optimization and minor copy updates (prompt-based).
- Fulfillment & Order Tracking.
- Oversee daily fulfillment across all stores.
- Communicate with suppliers, update tracking, ensure timely delivery.
- Maintain accurate logs of fulfilled, pending, and delayed orders.
- Chargeback & Dispute Handling.
- Prepare and submit chargeback evidence (delivery proof, customer communication, tracking).
- Maintain a high chargeback success rate via organized documentation.
- Handle customer emails, inquiries, refunds, and replacements.
- Respond within 24 hours or sooner.
- Maintain professional and clear communication with U.S. customers.
Reporting & Communication:
- Submit a Daily End-of-Day Report covering.
- Orders handled.
- Issues resolved.
- Pending matters.
- Chargeback updates.
- Maintain round-the-clock communication when critical updates arise.
- General Tasks
- Basic social media oversight (Instagram, brand awareness updates).
- Request reviews from customers where applicable.
- Support internal teams with operational tasks as needed.
Requirements:
- Mid-level Shopify experience (must NOT be a beginner).
- Strong understanding of order fulfillment, tracking, and drop shipping workflows.
- Comfortable using AI tools (GPT) for accuracy-focused tasks.
- Excellent written English and customer service etiquette.
- Highly organized with strong follow-up discipline.
- Fast learner and able to use multiple software tools efficiently.
KPIs:
- 24-hour customer response time.
- Accurate daily fulfillment.
- Chargeback win percentage.
- Clean, clear daily EOD reporting.
- Proactive communication with management.

Shift Timings: 03 PM - 11 PM
Pay: Rs60,000.00 - Rs80,000.00 per month
