Virtual Medical Front Desk Manager

Position: Front Desk Office Manager

Location: I-8 Markaz, Islamabad (On-site)
Shift Timing: 8:00 PM – 4:00 AM
Schedule: 5 days a week

About the Role:
We are seeking a compassionate and organized Front Desk Office Manager to be the first point of contact for our mental health clients during evening and night hours. This role is ideal for someone with prior experience in patient interaction, preferably in a mental health setting, who is comfortable handling administrative tasks with discretion, empathy, and efficiency.

Key Responsibilities:

  • Answer incoming calls from patients and respond to inquiries with professionalism and care
  • Assist patients with booking, rescheduling, and confirming appointments
  • Process patient payments by charging credit/debit cards through our secure systems
  • Provide basic support and reassurance to clients calling in with mental health-related concerns
  • Maintain accurate appointment records and update patient information as needed
  • Coordinate with clinicians and internal staff to ensure smooth daily operations
  • Manage front desk duties including attendance tracking, office supplies, and client-facing documents
  • Uphold patient confidentiality and follow HIPAA-compliant procedures at all times

Qualifications:

  • Prior experience in a medical, mental health, or customer service front desk role
  • Strong communication skills with a patient and empathetic tone
  • Familiarity with appointment scheduling software and card payment systems
  • Ability to work independently during night hours and handle sensitive situations calmly
  • Organized, punctual, and detail-oriented

Preferred:

  • Experience working in a mental health clinic or wellness center
  • Knowledge of basic mental health terminology and patient care etiquette
