Job Title: Visa Expert – Global Visa Processing

Working Hours: 11:00 AM – 9:00 PM (six days per week, with one weekly off as per roster)
Reports To: General Manager / Accounts & Admin

With a strong emphasis on reliability, speed, and expert knowledge, we are looking to strengthen our visa team with a seasoned professional who can independently drive visa processing and client acquisition across multiple high-demand destinations.

Role Overview

We are seeking a highly motivated, well-connected Visa Expert with a minimum of 2 years of UAE-specific experience in global visa processing. The ideal candidate will not only possess deep technical knowledge of visa regulations for a wide range of countries but also have a strong existing network of clients and the ability to independently generate and process visa files. This is an on-site, target-driven role that requires a balance of operational excellence and business development acumen.

Key Responsibility Areas (KRAs) & Deliverables1. Visa File Acquisition & Revenue Generation

  • Leverage personal and professional networks to independently source new visa clients and bring in high-volume visa files.
  • Achieve monthly/quarterly targets for the number of visa applications processed and revenue generated from visa services.
  • Develop and maintain relationships with corporate clients, travel agents, and walk-in customers to ensure a consistent pipeline of business.
  • KPI: Number of visa files sourced independently per month; revenue contribution from self-generated leads; conversion rate of inquiries.

2. Global Visa Processing & Documentation Excellence

  • Manage end-to-end visa processing for a broad portfolio of countries, with mandatory expertise in: Thailand, Singapore, Malaysia, Morocco, Azerbaijan, Georgia, Armenia, Schengen states, Australia, USA, UK, and Canada.
  • Thoroughly review client documents, fill application forms, schedule appointments, and prepare error-free submissions to embassies/consulates/VFS centers.
  • Handle all categories of visas (tourist, business, transit, family visit) and advise on the appropriate visa type based on client travel purpose.
  • KPI: Visa approval rate (>95%); average turnaround time from file receipt to submission; rejection rate and root cause analysis.

3. Client Advisory & Relationship Management

  • Act as a trusted advisor to clients, providing up-to-date, accurate information on visa requirements, processing times, fees, and documentation checklists.
  • Prepare clients for visa interviews (where applicable) with mock sessions and critical tips, especially for US, UK, and Schengen interviews.
  • Ensure an exceptional client experience through transparent communication, regular status updates, and prompt resolution of queries.
  • KPI: Client satisfaction score / Net Promoter Score; repeat business percentage from existing clients.

4. Compliance, Risk Management & Embassy Liaison

  • Stay continuously updated on changing visa policies, new regulations, and embassy mandates for all handled countries, and cascade changes to the team immediately.
  • Verify all supporting documents (bank statements, NOCs, travel itineraries, insurance, etc.) to eliminate any risk of misrepresentation or fraud.
  • Build and nurture a strong network with embassy officials, visa facilitation staff, and authorized representatives to expedite processing and resolve complex cases.
  • KPI: Zero compliance incidents or visa bans due to documentation negligence; positive feedback from embassy partners.

5. Operational Management & Reporting

  • Maintain a real-time tracker of all visa applications with clear status updates (submitted, under process, approved, rejected, ready for collection).
  • Coordinate with the back-office team, courier partners, and clients for seamless passport handling and delivery.
  • Prepare daily/weekly reports on application volumes, success rates, revenue, and pending cases for management review.
  • KPI: 100% data accuracy in the tracking system; on-time report submission; file closure rate within agreed timelines.

6. Market Intelligence & Process Improvement

  • Keep an eye on competitor pricing, service packages, and market trends in the UAE travel & visa sector.
  • Suggest process improvements, new visa service offerings, or partnerships that can enhance revenue and service quality.
  • KPI: Number of actionable suggestions implemented per quarter; cost reduction or revenue augmentation achieved.

Required Qualifications & Experience

  • Minimum 2 years of hands-on visa processing experience in the UAE (mandatory).
  • Proven expertise in processing visas for at least 10 of the following countries: Thailand, Singapore, Malaysia, Morocco, Azerbaijan, Georgia, Armenia, Schengen, Australia, US, UK, Canada, with demonstrable knowledge of the remainder.
  • Existing strong network of visa clients/corporate accounts in the UAE, with a track record of independently generating visa business.
  • In-depth knowledge of UAE-specific documentation requirements (e.g., bank statements, salary certificates, trade licenses for self-employed, NOCs, etc.) and embassy submission protocols.
  • Bilingual proficiency in English (speaking, reading, writing) is mandatory; knowledge of Arabic, Hindi, or Malayalam is a significant advantage.
  • Certification in travel and tourism (IATA, Galileo, Amadeus) or visa consultancy is a plus.

  • Customer-Focused: Empathetic and professional in all client interactions, even under pressure.
