Responsible for managing and processing visa applications, providing expert guidance on travel documentation, and ensuring compliance with immigration and consular requirements. The role involves close coordination with clients, embassies, consulates, and internal teams to facilitate smooth travel experiences.
Key Responsibilities
- Visa Processing & Documentation
- Handle end-to-end visa application procedures for multiple destinations.
- Ensure all client documents are complete, accurate, and meet embassy/consulate requirements.
- Prepare supporting documents such as invitation letters, travel itineraries, and covering letters.
- Track application progress and follow up with the Application Centers, Embassies or Consulates when necessary.
- Provide expert advice to clients regarding visa types, requirements, fees, and processing times.
- Guide clients through medical, biometric, and interview appointments where applicable.
- Respond to client inquiries promptly and professionally, maintaining high service standards.
- Stay updated on changes in the Visa rules, Immigration policies, and Embassy regulations.
- Maintain a database of Visa requirements, Forms, and Embassy contacts.
- Ensure compliance with company policies and government regulations regarding travel and documentation.
- Prepare regular reports on visa applications, approvals, rejections, and pending cases.
- Work with internal teams (sales, operations, corporate travel desk) to align visa processes with client needs.
Qualifications & Skills
- Minimum 2–3 years of experience in visa processing, immigration, or travel documentation.
- Strong knowledge of visa requirements for Schengen, USA, UK, Middle East, and Asia-Pacific destinations.
- Excellent communication and interpersonal skills.
- Detail-oriented with strong organizational and time management abilities.
- Proficient in MS Office and familiar with visa portals/online application systems.
- Ability to handle multiple cases under tight deadlines.
- Fluency in English (knowledge of additional languages is a plus).

- Experience working in a travel agency, tour operator, or corporate travel management company.
- Ability to resolve complex documentation issues and handle escalations professionally.
