Voce Operations Administrative Assistant

The Operations Administrative Assistant supports Voce’s board, leadership, finance, and resource development functions. The primary responsibilities include assisting with preparation and participation in remote and on-site meetings, maintaining records and data, and assisting with special projects. This position is responsible for serving as the primary point of contact for internal and external parties, including Voce staff and Board of Directors members.

Schedule: Monday - Friday 8:30 AM - 3:30 PM.

What You Will Contribute

• Plans and coordinates meetings, including meeting dates and location, sending meeting invites, creating and distributing agendas, distributing required materials, and providing technical and logistical support for meetings.
• Assists Chief Executive Officer (CEO) with communications and preparations of strategic planning presentations to the Leadership Team and Board of Directors.
• Collaborates with Finance Director to develop and maintain forms and protocols for the Fiscal Department.
• Collects and uploads employee photos to the timekeeping system.
• Modifies timecards according to employee-reported hours worked.
• Tracks employee photo release responses and prepares a list to share with the communications division.
• Other duties as assigned.

What It Takes To Succeed

• High school diploma or equivalent with a minimum of three years related office experience is required.
• Ability to utilize standard office equipment at a level generally acquired through three or more years related experience.
• Advanced knowledge in Microsoft Office Suite, database management, cloud-based applications, and a demonstrated ability to learn new systems.
• Proficient verbal and written communication skills; experience drafting and editing professional correspondence with correct grammar, style, and punctuation.
• High-degree of sensitivity and ability to maintain confidentiality.
• A valid driver's license.
