- Handle correspondence through email, phone calls, and video conferencing software such as Zoom or Microsoft Teams with professionalism and confidentiality.
- Support bookkeeping and data entry tasks using QuickBooks and productivity software to maintain accurate financial records and donor databases.
- Prepare meeting agendas, take detailed minutes, proofread documents, and transcribe notes to ensure clear communication across teams.
- Facilitate internal communication among board members, staff, volunteers, and external partners to promote collaboration and transparency.
- Assist with office management duties including filing, managing multi-line phone systems, handling confidential information, and maintaining organized records.
Experience
- Demonstrated administrative experience in office settings or as a personal assistant, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Prior experience in event planning, project coordination, or project management within nonprofit or corporate environments is highly desirable.
- Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
- Excellent written and verbal communication skills with professional phone etiquette.
- Technical proficiency in video conferencing software (Zoom, Microsoft Teams), data entry tools like DocuSign for document signing processes, and familiarity with bookkeeping software such as QuickBooks.
- Experience handling confidential information discreetly while supporting executive leadership or board members.
- Ability to work collaboratively with C-suite executives and diverse teams while demonstrating flexibility and initiative.
