Position Summary

The Warranty Administrator supports all warranty-related activities. This role assists with the warranty process, files warranty claims for failed units and components, and ensures the timely processing and resolution of claims. The position also helps ensure warranty credits and refunds are properly distributed.


Essential Duties and Responsibilities

  • Prepare warranty summaries and track warranty trends.
  • Monitor, and facilitate the timely processing of warranty claims for both internally produced and externally purchased products.
  • Interface with customers by answering incoming calls and assisting with warranty-related inquiries.
  • Take customer phone orders, create invoices, and generate pump labels and shipping labels for related shipments.
  • Inspect and manage pump inventory, including checking pumps, managing stocking processes, and closing work orders before items are returned to inventory.
  • Produce labels for pumps and other components being stocked.
  • Record and track all incoming and outgoing warranty claims in the Sierra Vista system.
  • Monitor all warranty jobs within Sierra Vista to ensure proper documentation and completion.
  • Assist in preparing reports using Sierra Vista to track warranty claim rates, identify faults, and support root cause analysis.
  • Manage specific customer shipments, including creating pump labels and coordinating shipping arrangements.
  • Provide quotations to customers and assist with various customer requests related to the warranty department.
  • Perform other duties and responsibilities as assigned.


Minimum Qualifications (Knowledge, Skills, and Abilities)

  • High school diploma or equivalent (GED) required.
  • 1–3 years of warranty or related administrative experience preferred.
  • Strong attention to detail and organizational skills.
  • Basic computer skills with the ability to accurately enter and manage data.
  • Ability to read and interpret technical documentation.
  • Strong communication and customer service skills.
  • Successful completion of pre-employment background check and drug screening.
  • Demonstrates professionalism, teamwork, and contributes to a positive work environment.
