POSITION SUMMARY

The Wedding Planner & Designer is responsible for guiding clients through both the planning and design process while ensuring exceptional execution from concept to completion. This role combines creative event design with logistical planning and onsite event management, serving as the primary liaison between clients, vendors, venues, and House of Wilde's internal teams.

The ideal candidate is equal parts creative visionary, strategic planner, and detail-oriented project manager who thrives in a fast-paced luxury event environment.

WHAT YOU WILL BRING TO THE TEAM

Event Planning & Client Management

  • Lead wedding and event planning efforts from booking through event execution.
  • Serve as the primary point of contact for assigned clients throughout the planning process.
  • Conduct planning meetings, venue walkthroughs, and production meetings.
  • Manage timelines, floor plans, vendor communication, and event logistics.
  • Coordinate all month-of planning responsibilities, ensuring every detail is finalized and communicated.
  • Develop and maintain comprehensive production documents and event schedules.
  • Communicate updates, changes, and action items to clients, vendors, and internal teams.
  • Build and maintain strong relationships with venues, planners, and vendor partners.
  • Deliver exceptional client service while proactively anticipating needs and solving problems.

Design & Creative Development

  • Collaborate with clients to develop and execute cohesive event design concepts.
  • Create and present visual design boards, inspiration decks, and event renderings.
  • Source décor, rentals, furnishings, florals, and custom fabrication elements that align with each client's vision.
  • Bring innovative and creative design ideas to the table while maintaining alignment with budget and logistics.
  • Work closely with the Director of Design, fabrication team, and vendor partners to develop custom event solutions.
  • Stay current on design trends, materials, and emerging technologies within the luxury event industry.
  • Support proposal development and design presentations through Goodshuffle and related systems.

Project Management & Production

  • Manage multiple events simultaneously while maintaining exceptional attention to detail.
  • Drive project timelines and ensure all creative and operational deliverables remain on schedule.
  • Coordinate subrentals, custom fabrication needs, vendor partnerships, and logistics requirements.
  • Analyze project profitability and identify opportunities for efficiency.
  • Support creative budget tracking and reconciliation.
  • Work closely with the Logistics Manager, Warehouse Manager, Operations Team, and Design Department to ensure seamless event execution.
  • Archive completed projects and assist with post-event reporting and wrap-up.

On-Site Event Execution

  • Attend venue walkthroughs and production meetings leading up to events.
  • Provide onsite leadership during event installation and setup.
  • Oversee event styling, décor placement, and final design execution.
  • Serve as the primary House of Wilde representative onsite, ensuring exceptional client and vendor experiences.
  • Manage last-minute changes and problem-solve effectively under pressure.
  • Travel as needed for events throughout Colorado and destination markets.
  • Participate in approximately 2–6 event weekends per month depending on seasonality.

Process & Administrative Support

  • Assist in developing and refining company Standard Operating Procedures (SOPs).
  • Maintain accurate project records, proposals, contracts, and production documents.
  • Support recruiting and onboarding efforts for event staff as needed.
  • Contribute to continuous improvements across planning, design, and production workflows.

EDUCATION & EXPERIENCE

  • Bachelor's Degree in Event Management, Hospitality, Interior Design, Marketing, Communications, Fine Arts, or a related field preferred.
  • Equivalent professional experience may be considered in lieu of formal education.
  • 3–5+ years of experience in luxury wedding planning, event planning, event design, hospitality, or related industries.
  • Experience managing high-end weddings and social events preferred.
  • Strong portfolio demonstrating event design experience is highly preferred.

GENERAL REQUIREMENTS

  • Eligible to work in the United States.
  • Valid Driver's License and reliable transportation.
  • Willingness to travel and work evenings, weekends, and extended event days as required.
  • Ability to lift and move event materials up to 30 pounds occasionally.
  • Ability to work onsite at events throughout Colorado and destination locations.
