Position Overview
As a Wedding Sales & Event Coordinator Assistant, you will be one of the first points of contact for our couples and prospective clients.
You will assist clients throughout the planning process, answer questions, schedule venue tours, prepare proposals and agreements, follow up with prospective clients, coordinate appointments, and provide exceptional customer service.
This position requires someone who is friendly, organized, proactive, detail-oriented, and passionate about creating an outstanding experience for every couple. This position offers a fantastic opportunity to grow within the events and hospitality industry.
Work Schedule
Monday, Wednesday, Thursday, and Friday: 9:30 AM–6:30 PM
Tuesday: Off
Saturday: 9:30 AM–2:30 PM
Sunday: Required to work two Sundays per month, depending on scheduled tours and events
The weekly schedule may be adjusted during weeks when Sunday work is required.
This position is primarily based in our Doral office but may require occasional travel to Villa Paraiso in Homestead for venue tours, planning meetings, décor selections, and events.
Responsibilities: Client Communication and Sales
- Answer incoming phone calls, emails, text messages, and CRM inquiries.
- Respond promptly and professionally to new wedding and event inquiries.
- Follow up consistently with prospective clients.
- Help convert qualified leads into confirmed bookings.
- Answer questions regarding venue services, packages, availability, and the planning process.
- Provide excellent customer service from the initial inquiry through the wedding-planning process.
Tours and Appointments
- Schedule venue tours, planning meetings, and showroom appointments.
- Welcome and assist couples during venue tours and showroom visits.
- Help couples understand the venue, available services, packages, and planning process.
- Assist with décor-selection appointments.
Proposals and Client Records
- Prepare and send proposals, quotes, contracts, and rental agreements.
- Maintain accurate and updated client information in the CRM.
- Track contracts, payments, insurance documents, vendor agreements, and required forms.
- Keep calendars organized and ensure client deadlines and appointments are properly scheduled.
Wedding Planning and Coordination
- Assist couples throughout the wedding-planning process.
- Coordinate planning meetings and follow-up appointments.
- Communicate with wedding planners, vendors, and internal team members.
- Assist with timelines, décor selections, vendor information, and event details.
- Help ensure that important planning deadlines are completed on schedule.
Office Support
- Support the event coordination and management team with administrative tasks.
- Assist with general office operations as needed.
- Maintain organized digital and physical client records.
Qualifications
- Fluent in English and Spanish, both spoken and written, is required.
- Excellent verbal and written communication skills.
- Strong customer service and sales abilities.
- Highly organized with excellent attention to detail.
- Comfortable using CRM software, email, Canva, calendars, and WhatsApp.
- Previous experience in hospitality, weddings, event coordination, sales, or customer service is preferred.
- Professional appearance and positive attitude.
- Reliable transportation.
- Ability to multitask and work efficiently under pressure.
- Availability to work Saturdays and two Sundays per month.

This position requires excellent communication, organization, customer service, and follow-up skills. You will communicate with brides, grooms, wedding planners, vendors, and event clients every day.
